Executive Administrative Assistant:
We are looking for an Executive Administrative Assistant to join the RWS Team to perform a variety of administrative tasks and support our company's senior-level managers. The ideal candidate must be able to work in a fast-paced, team-oriented environment providing support to management in maintaining daily office operations. Ability to be flexible, detail-oriented, and must be able to prioritize work and handle simultaneous assignments with success and accuracy. The ideal candidate should be comfortable with new technology, virtual meeting platforms and scheduling systems. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
The responsibilities of the Executive Administrative Assistant include but are not limited to the following:
- Act as the point of contact among senior-level managers, employees, clients and other external partners, providing administrative support to ensure efficient operation of the office including responding to email inquiries and directing phone calls to the appropriate representative. Exhibits polite and professional communication via phone, e-mail, and mail.
- Manage information flow in a timely and accurate manner, including supporting the overview of the Company’s electronic work order management software program and timely notify senior-level managers of the corrective measures required.
- Format information for internal and external communication memos, emails, presentations, reports, etc.
- Maintenance/upkeep of the Company’s social media presence through Facebook and on the Company's website blogs. Will communicate with management for topic development and notifications.
- Work with marketing programs to send out promotional materials and general email communications to customers and prospective new customers.
- Provide support in any projects in the compilation of information and the developments of presentations and reporting using Microsoft Office Suite apps and software-based programs.
- Act as an office manager by keeping up with office supply inventory and in organizing and maintaining an up-to-date electronic and paper filing system, scheduling equipment servicing and maintenance as deemed necessary.
- Take minutes during meetings, maintaining privacy/discretionary standards of closed-door meetings.
- Manage the travel budget and book all executive air travel, land transport, and accommodation as well as communicating those arrangements with a high level of detail and follow through. Includes setting up team lunches and dinners if requested.
- Manage executives' calendars and set up meetings as requested by senior level managers; includes maintaining company birthday, and celebration schedules.
- Contributes to team effort by accomplishing related results as needed. Communicates with other team members constructively in order to reduce conflict and enhance the resolution of issues.
- Will be available to provide support to major projects by completing assigned tasks imperative for the fulfillment of the objectives therein.
Skills and Qualifications:
- Must have strong verbal and written communication skills
- Must possess advanced level skills with the Microsoft Office Suite, including but not limited to Word, Excel, PowerPoint, Access, etc.
- Must have advanced skills using Adobe Acrobat for editing, modifying, etc.

Education and Experience Requirements:
- Minimum 3 years of administrative assistant experience
- Minimum Associate’s degree preferred
- Strong knowledge of appropriate software including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
- Must have knowledge of QuickBooks accounting software and electronic work order management programs preferred
- Knowledge of Facebook, website development and marketing platforms like Constant Contact.
Job Type: Full-time
Pay: $18.00 - $18.50 per hour
