What are the responsibilities and job description for the Project Coordinator position at Ritsema Associates?
PURPOSE
The Project Coordinator supports project management department by assisting in development, and preparation daily. Assists with preparing maintaining job files, printing, submittals, records, and data. Performs other duties as necessary, which involves some travel, use of computers, office equipment & company vehicles. This is a full-time position.
RESPONSIBILITIES & DUTIES
- Set up and facilitate:
- Project Meetings – PM/Foreman Handoff Meetings
- Finance Meetings
- Project Closeouts – Assembly final cost analysis and collect foreman hours.
- Assist with job start-up including gathering information, prepare project summary form, allowances, schedules, certificates of insurance, consent of surety, and prevailing wage requirements. Submitting signed contracts to GC and verify fully executed copy has been received.
- Open new projects, create and maintain new digital job folders, input information into Foundation, request insurances.
- Collect, price and process all Additional Work Authorization (RFC) forms.
- Make blueprint copies as requested & keep track of maintenance and supplies for the copier.
- Check printing equipment every morning to make sure it is stocked and ready for use.
- Assist with normal correspondence and bulletins through email and calendar invites to project management team.
- Assist with preparing and submitting submittal and LEED documentation.
- Provide all project closeout documentation.
- Assemble and fill out LEED paperwork.
- Make sure all documents and forms leaving the office are consistent, professional in appearance with proper grammar and spelling.
- Distribute printouts, faxes, mail, plans, etc. as needed.
- Computer skills, specifically with excel spreadsheets, database, and internet research skills.
- Be able to provide timely follow-up on all requests.
- Exercise sound judgement and demonstrate advanced problem-solving ability.
- Manage own time and organize workload with minimal supervision.
- Other relevant tasks and duties as requested by your manager or the estimating team.
Pay is based on experience.
