Ritter Center is currently recruiting a Pantry Manager for our Pantry. This full-time, exempt position reports to the Chief of Staff and is based in San Rafael, CA; the role operates out of our Main Campus.

POSITION DESCRIPTION

The Pantry Manager role ensures the smooth functioning of Ritter Center's Pantry food distribution and coordination of in-kind donations. Excellent customer service skills are needed since this role provides org-wide services information and interacts with a wide variety of clients, volunteers, staff members, outside vendors, and community members. Familiarity and comfort with the homeless and low-income population are essential in this role. Comfort in a fast-paced environment, a strong ability to multitask effectively, and good de-escalation skills are essential.

Strong data entry, database management, and timely deadline completion are critical to fulfill the Pantry's grant-required reporting due dates each month of food recipients, volunteer hours, and in-kind donations received. Prior management experience is required to support the selection, training, mentoring, and oversight of the Assistant Pantry Manager as well as the Pantry's volunteers as courteous, compassionate, productive team members. As a department leader, this position contributes to the development, implementation, and maintenance of effective organizational strategies, policies, and practices of Ritter's Leadership team.

Essential Responsibilities :

  • Oversee Ritter Center's Pantry operations to ensure that food, clothing, toiletry, and other client assistance donations and purchases are received and stored clean and organized, distributed equitably, and tracked appropriately.
  • Manage all aspects of the Pantry volunteer program, including using the volunteer recruitment app to promote Pantry volunteer opportunities, select and assign volunteers where needed, train / direct / support / assist volunteers, maintain volunteer authorization records, and track all completed volunteer hours.
  • Act as liaison to Food Banks, local businesses making food deliveries, and community members making in-kind donations; coordinate unloading of donations, sorting and organizing inventory, and tracking all in-kind donations with a receipt.
  • Manage all phone calls and in-person service inquiries and coordinate donation drop-offs and off-site pick-ups.
  • Manage client laundry appointment scheduling and maintain washer / dryer area in a safe and clean condition at all times.
  • Coordinate daily Pantry task coverage by volunteers or the Assistant Manager.
  • Manage multiple tasks while supporting clients with complex and sometimes challenging behaviors.
  • Enter and manage accurate data reporting of client demographics and bus pass distribution in database (daily), Food Bank food recipients sign-in sheet (daily), volunteer hours (weekly), in-kind donation receipts (weekly), Food Bank Monthly reports (monthly). Re-stock / print all required service forms as needed.
  • Manage the daily opening and closing Pantry procedures to ensure a safe and clean environment at all times.
  • Participate in the client 'Do Not Admit' committee with other staff leaders to be aware of clients not allowed on campus.
  • Regularly attend BWELL meetings and stay up to date on client care and special needs.
  • Support special client event registration, as requested.
  • Provide monthly reports of Pantry operations and clients served to the Board.
  • Manage grant-funded Pantry projects per the funder's requirements.
  • Meet with supervisor, attend staff meetings and trainings as scheduled; participate in management meetings, retreats and committees for the purpose of improving operations, safety and client service delivery.
  • Manage org-wide supply orders and be primary vendor / supplier liaison : manage online accounts (Amazon, Staples, Costco, etc.); coordinate receipt and delivery of all orders placed; track all purchase receipts and submit and reconcile with Accounting team monthly.
  • Coordinate maintenance of company vehicles (box truck, passenger vans, St Med van, Harm Reduction van), schedule repairs as necessary, and track all service on existing spreadsheet.
  • Provide English / Spanish translation services for clients as needed, if bi-lingual.
  • Adhere to the goals, objectives, policies, and procedures of Ritter Center.
  • Perform other duties as assigned.

Essential Skills and Abilities :

  • Excellent customer service and de-escalation skills
  • Familiarity with low-income and homeless population
  • Ability to de-escalate clients calmly and professionally
  • Staff and / or volunteer management experience
  • Calm under pressure to resolve unexpected emergencies
  • Excellent computer skills, accuracy in data entry
  • Exceptional organization to complete all reporting deliverables on time
  • Independent time and project management skills
  • Good verbal and written communication skills
  • Minimum Qualifications :

  • Per our Federally Qualified Healthcare Center (FQHC) requirements employment at Ritter Center requires compliance with being able to produce a negative TB test prior to the start of employment, as well as being fully vaccinated against COVID-19 (unless applying for an exemption) per the August 5th State Public Order for Healthcare Facilities, providers and employees.
  • Experience providing social services to low income working individuals, those who are experiencing homelessness, and individuals with co-occurring conditions
  • Ability to multi-task in a fast-paced environment
  • Experience with vendor outreach and research, relations, maintaining contracts, and purchasing on behalf of an organization
  • Experience negotiating and closing deals with vendors and contractors
  • Familiarity maintaining high level of confidentiality while handling patients' sensitive information, according to HIPAA standards
  • Experience with creating and maintaining logs, files, and digital forms
  • Independent time and project management skills
  • Strong critical thinking, analytical, and problem-solving abilities
  • Initiative and pro-active attitude to troubleshoot and propose solutions
  • Ability to look at situations from several points of view
  • Ability to lift heavy objects on a regular basis, complete repetitive tasks, and perform light cleaning of pantry and client services spaces
  • Ability to speak, read and write in English / Spanish is a bonus
