Medical Records Business Office Coordinator

Job Summary: 

Ensures smooth operation of the clinic’s administrative functions, including client intake, scheduling, and general office support with an emphasis on exceptional customer service in a compassionate and professional manner.

 

Essential Functions: 

  1. Oversee day-to-day administrative tasks, ensuring the clinic operates efficiently
  2. Manage patient intake process, including verifying insurance, completing necessary forms, and entering patient data into the electronic health record system
  3. Coordinate patient appointments and manage scheduling to ensure optimal workflow and minimal wait times
  4. Answer phones, respond to inquiries, and direct calls to appropriate staff or clinicians
  5. Maintain a clean and welcoming office environment
  6. Greet clients and visitors in a friendly and professional manner, ensuring they feel comfortable and informed
  7. Provide general information to clients regarding clinic policies, services, and resources
  8. Ensure that patient confidentiality is always maintained per HIPAA guidelines
  9. Support management with clerical tasks such as filing, photocopying, and data entry
  10.  Assist with special projects and other duties as needed including back-up for other staff.
  11. Participation in skill enhancement activities.

Qualifications


Education and Experience: 

  1. High school diploma/GED
  2. Familiarity with mental health services preferred

 

Knowledge and Skills: 

  1. Good knowledge of general office practice and business English
  2. Excellent organizational, multitasking, and time management skills
  3. Strong proficiency in office software (experience with electronic health record systems preferred)
  4. Strong customer service skills
  5. Ability to type at the rate of no less than 40 words per minute.
  6. Compassionate and empathetic demeanor, with a commitment to maintaining a positive, respectful, and professional atmosphere.
