Job Summary:
The OP Clinical Coordinator will work under the supervision of the Program/Clinical Director to oversee assigned program(s). Expected areas of focus include but are not limited to 1) program coordination, 2) staff coordination, 3) provision of direct services and participation in a multidisciplinary team approach, 4) cultural competency and diversity, 5) documentation, 6) productivity and efficiency, 7) staff development and skill enhancement activities, 8) other duties and special projects as assigned and developed.
Essential Functions:
Program Coordination: Functions as primary coordinator for functions of OP program under the supervision of the Program/Clinical Director as evidenced by:
a) Completes all data tracking, collection, and management tasks related to program needs and contract requirements.
b) Supports Program/Clinical Director in tasks to promote program adherence to contract, state, and federal requirements for program.
c) Coordinates all aspects of new client program enrollment including intake clinic, new client orientation, referral, coordination, and assignment coordination.
d) Provides coordination for group services including but not limited to schedule maintenance, enrollment, promotional materials, staffing and coverage.
e) Coordinates and manages on-call schedules and forwarding.
f) Coordinates and oversees any requirements and tasking of special contracts or projects to support program including data reporting, point-of-contact and outreach, and RFP or other written response/proposals.
g) Acts as a bridge between functions of support team and clinical team to promote enhanced client experience.
h) Participates in community outreach and program promotion. Demonstrates excellent customer service to referring entities and community partners, attends trainings/meeting as assigned, and represents the organization in a positive and professional way in the community.
Staff Coordination: Provides support for direct service staff under supervision of Program/Clinical Director as evidenced by:
a) Coordinating and providing of initial training and orientation to new hires.
b) Supports Program/Clinical Director with hiring manager tasks.
c) Supports Program/Clinical Director in coordination of team members’ duties, hours and schedules, and leave time to ensure sufficient program coverage.
Service Delivery and Team Approach: Participates as an active treatment team member serving individuals with mental health and substance use issues as evidenced by:
a) Demonstrating the ability to recognize and identify symptoms of mental illness and substance use.
b) Participating as a member of a multi-disciplinary team approach to treatment and recovery.
c) Coordinating with both internal and external providers regarding service provision.
d) Completing services delivery as needed by program (within appropriate scope of education/licensure).
e) Enhance quality of service delivery including but not limited to outreach to clients, receipt and triage of client concern/question, and crisis support.
Cultural Competence and Diversity: Provides culturally appropriate services to diverse populations as evidenced by:
a) Providing services that are person-centered and culturally relevant.
b) Providing a non-judgmental, open, and welcoming approach to diverse populations.
c) Developing team members’ skills in offering services to diverse populations that are person-centered, culturally relevant, and non-judgmental.
Documentation: Completed documentation that meets identified expectations as evidenced by:
a) Documenting all services provided within expected time frames.
b) Documenting all services provided in a manner that meets service definitions, regulatory standards, and agency expectations.
c) Documenting all services provided in a manner that is person-centered and meets quality improvement goals.
d) Supports Program/Clinical Director in overseeing program documentation to ensure that team members’ documentation meet requirements of agency, regularity entities, and quality improvement goals.
Efficiency and Productivity: Consistently meeting established productivity standards as evidenced by:
a) Demonstrating excellent organizational and time management skills.
b) Demonstrating the use of effective engagement skills.
c) Consistently meeting established productivity standards.
Staff Development Activities: Participates in staff development activities to increase skills and professional development as evidenced by:
a) Participating in and completing all required trainings in an accurate and timely manner.
b) Attending and participating in supervision sessions and demonstrating the ability to apply supervisory recommendations to work performance.
c) Identifying, developing, and facilitating in-house trainings in both group and individual format for staff members.
d) Supporting Program/Clinical Director to ensure all team members meet requirements related to staff training as identified by agency and regulatory standards.
Other: Completes other administrative support duties and special projects as developed and assigned.
Qualifications
Education and Experience:
1. Bachelor's Degree in a human services related field.
2. Documented experience with target population preferred.
3. Clinical licensure in BH preferred but not required, or eligible; documented experience with co-occurring mental health and substance use disorders.
4. EXPERIENCE: Dependent on type of education (see above). A minimum of two years working with target population. One year demonstrated supervisory experience preferred.
5. OTHER: Valid drivers’ license and meets the driving privileges guidelines established in HR Policy 12.6 “Vehicle Safety and Client Transportation”
Knowledge and Skills:
Demonstrated success in the following areas:
- Ability to manage time to meet all deadlines.
- Ability to recognize and identify symptoms of mental illness and suicide and risk potential and respond appropriately.
- Good verbal and written skills.
- Bilingual (English/Spanish) is preferred but not required.
