We are seeking a reliable, professional, and detail-oriented Front Desk Receptionist/Administrative Assistant to join our law firm. This individual will serve as the first point of contact for clients and visitors, while also supporting our legal team with administrative tasks. The ideal candidate will thrive in a fast-paced environment and will be capable of multitasking, will have excellent computer skills, will demonstrate organizational skills and have effective communication skills. Must be able to work well independently and as part of a team of professionals.

Primary Responsibilities
Reception Duties:
- Greet clients, visitors, and vendors in a professional and friendly manner.
- Answer and direct phone calls, take detailed messages, and route them appropriately.
- Assist in setting and confirming appointments and updating the office calendars accordingly.
- Handle inquiries about the firm and legal services offered by the firm, with professionalism and confidentiality.
- Assist with new potential client calls and obtain background information on potential legal matters.
Administrative Support:
- Open, sort, and distribute incoming mail; prepare outgoing mail, including using a postage machine.
- Assist with filing legal pleadings, correspondence, and other documents both electronically and in physical files.
- Create and maintain file labels, organize files, and ensure compliance with document retention policies.
- Maintain inventory of common office supplies and ordering as necessary.
Legal Support:
- Assist paralegals and attorneys in filing legal documents in accordance with court rules (including e-filing).
- Prepare simple correspondence and documents under the supervision of attorneys or paralegals.
- Maintain filing systems and ensure accurate records management.

Qualifications
- Education: High school diploma or equivalent required; some college preferred; previous law firm or legal office experience preferred.
- Experience: Prior experience in a legal, executive, or other professional office is required. Prior experience answering phones and providing customer service in a fast-paced environment is required.
- Skills:
o Excellent communication and interpersonal skills.
o Strong organizational skills with attention to detail.
o Proficiency with office equipment (e.g., computers, phones, postage machine, scanner, copier, printer).
o Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with case management software Clio is preferred, but not required.
o Ability to learn and comply with legal filing procedures, including electronic court filing systems.
