This position reports immediately to the Administrative Coordinator, followed by the Controller.
Job Overview:
The Administrative Assistant at River Valley Pipe, LLC is a vital role that ensures the smooth operation of office tasks, provides excellent customer service when needed, supports the general accounting function of the Company, and plays a vital role in promoting and supporting company events. The Administrative Assistant will interact will all members of the Company daily, and while adhering to the Entrepreneur's Operating System (EOS), ensure efficiency and consistency in processes that ultimately contributes to the overall success of the Company. The two key performance indicators (KPIs) for this role are 100% task completion and a 0% error rate.
Responsibilities and Duties:

2. Maintain effective communication and relationships with all members of the Company
3. Maintain a clean and organized workstation and office space
4. Manage inventory of office supplies
5. Pick up, sort, and deliver incoming mail and packages
6. Drop off outgoing mail and arrange outbound shipments with shipping carriers
7. Maintain the document filing system for both physical and digital documents
8. Handle various office tasks, such as:
a. Make copies, scan documents, print company branded envelopes, and data entry
9. Screen phone calls and route callers to the appropriate party when needed
10. Kindly greet visitors and assist them with their requests, whether it be a:
a. Customer, vendor, walk-in job applicant, etc.
11. Maintain a conversational knowledge of company inventory items to assist customers
12. Utilize the accounting software to track sales orders and shipments to customers
13. Maintain open sales order binder and prepare paperwork for customer invoicing
14. Prepare purchase orders upon request by other team members
15. Assist with processing vendor invoices in a timely manner
16. Participate in the execution of company-wide events and advisory board luncheons
Qualifications:
− Education and Experience:
o A high school diploma or equivalent, is required.
o Completion of an associate’s degree, or relevant coursework, is preferred.
o One to three years of office and/or customer service experience.
− Skills and Abilities:
o Proficient with computers and Microsoft Office applications.
o Exceptional time, task, and resource management skills will be required to plan for, and track, multiple tasks and deadlines.
o Strong interpersonal, and verbal and written communication skills are necessary to successfully work with internal and external team members.
o Self-motivated and proactive with strong problem-solving skills and the ability to think critically are crucial when handling the variety of questions that are asked by visitors and callers.
o An innate willingness to help others will aid in delivering the level of customer service that is expected.
o Ability to occasionally work in a loud environment, and to occasionally stand, walk, sit, and reach with hands and arms. The requirement to lift and/or move up to 25 pounds may occur.
o Must have a valid Illinois state drivers’ license.
Job Type: Part-time
Pay: From $18.00 per hour
Expected hours: 15 – 20 per week
