JOB SUMMARY:
Join our dynamic team based in El Paso, where we focus on retail, office, and flex office properties. As we expand our portfolio through acquisitions and new developments, the Assistant Property Manager will play a key role in supporting the day-to-day operations. You will assist with property management functions, help establish standards and provide operational and strategic support with the guidance of the Property Manager.
Essential Duties and Responsibilities:
1. Tenant Relations
- Act as a point of contact for tenants; address service requests, questions, and concerns.
- Coordinate tenants move-ins/outs and maintain updated records of occupancy.
- Support lease compliance and enforce building rules and regulations.
2. Lease Administration
- Assist with lease abstracting, tracking critical lease dates, and ensuring accurate billing.
- Prepare lease correspondence and documents as directed by the Property Manager.
- Maintain digital and physical lease files in compliance with company standards.
3. Maintenance & Operations Coordination
- Submit and follow up on work orders; ensure timely resolution of maintenance issues.
- Liaise with vendors and contractors for routine and emergency repairs.
- Help oversee regular property inspections and maintain the appearance and safety of the property.
4. Financial Support & Reporting
- Assist with budgeting, monthly financial reports, and variance analysis.
- Code and process invoices, track expenses, and support rent collection efforts.
- Prepare purchase orders and maintain vendor contracts and insurance certificates.
5. Administrative & Compliance Duties
- Maintain accurate and organized property files, tenant information, and maintenance logs.
- Ensure compliance with local, state, and federal regulations, including safety and accessibility standards.
- Support risk management efforts by reporting incidents and helping coordinate insurance claims.
- Perform office tasks and errands
REQUIRED SKILLS/ABILITIES:
- Proficiency in Microsoft Office Products (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Effective organizational skills for managing work environment and workflow.
- Analytical skills with high attention to detail.
- Proactive, with the ability to solve problems and provide excellent customer service.
- Capable of multitasking and prioritizing to meet deadlines and job requirements.
- Self-motivated with the ability to work independently.
EDUCATION AND EXPERIENCE:
- At least 1-2 years of experience in property management or a related field.
- Demonstrated experience in supporting team management.
- Reliable and flexible, with a commitment to confidentiality.
- Experience in managing budgets and fiscal management skills.
- Bachelor’s degree or equivalent experience preferred.
PHYSICAL REQUIREMENTS:
- Frequently required to sit, stand, walk, talk, hear, bend, and reach.
- Ability to reach with hands and arms.
- Occasionally lift and/or move up to fifty pounds.
- May work in outdoor weather conditions.
