Is responsible for providing excellent customer service to patients in preparation of required materials by Department of Social Services (DSS), Virginia Paternity Establishment Program (VPEP), and the Department of Health (DOH). Ability to provide accurate, and timely demographic/medical data to appropriate state agencies to create an identification document for baby and legal parentage. Works in conjunction with VPEP and DOH to support VPEP with maintaining a birth database for research and for program planning and evaluation for maternal and child health as well as assistance for parents who require assistance obtaining a legal certificate for their child. Primary functions of this role will include data collection and submission.

Primary functions of this role will include data collection and submission.
What you will do
- Cover both the Women and Infant Care floor and Neonatal Intensive Care Unit in order to abstract accurate and complete demographic and medical information from various electronic systems, and other specified documentation sources of both mother and baby. Problem-solve to discover missing data and to clean existing data. Facilitates state audits of hospital records to verify the accuracy of transmitted birth data.
- Demonstrates ability to navigate systems to access patient information pertinent to vital record statistics. Works with responsible clinicians to meet state and federal completeness standards for birth data fields. Able to collect accurate data for input into vital records database. Queries physicians and other clinicians to supply missing information and to clarify ambiguous information or out of range data.
- Answers phone in a timely manner using appropriate phone etiquette skills to support a positive service experience. Updates birth registrar voicemail with applicable messages. Screens voicemail and follow up with patients in reasonable time frame.
- Demonstrates understanding of diverse patient care populations and provide education explaining the importance of and use of birth data and acknowledgement processes. Interacts with parents, as required, to facilitate completion of worksheets and related forms to amend certificates. Acknowledgement of rights and responsibilities reviewed with each interaction.
- Demonstrates the ability to work independently and meet deadlines for birth data transmission as mandated by state statutes. Ensures transmission of all births occurring in hospital or occurring on the way to the hospital to the appropriate state agency within time frame deemed by vital records. Completes birth certificates and death certificates in a timely manner. Mails birth certificates, paternities, and payments to vital records/ VPEP.
- Participates in continuing education to upgrade and improve skills and job related knowledge.

Qualifications
Education
- High School Diploma or GED, (Required)
- Associates Degree, (Preferred)
Experience
- Clerical experience in healthcare setting (Preferred)
- Healthcare computer based systems (Preferred)
Licenses and Certifications
- Registered Health Information Administrator (RHIT) - The American Health Information Management Association (AHIMA) (Preferred)
- Notary - Secretary of the Commonwealth within 30 Days(Required)
Hours
Labor Pool 7:00 am-7:00 pm mainly weekends and possible weekday coverage
