Job Summary
The Payroll Specialist ensures accurate processing of the company's payroll, provides timely and accurate financial information, participates in daily payroll data entry, and assists with other Fiscal Services projects and tasks needed.
Job Responsibilities
- Accurately maintain master file data and time exception information in automated timekeeping system and payroll system.
- Initiate computer processing of payroll information, the computer preparation of paychecks, direct deposit, and employee deduction electronic transactions. Process offline checks and void payroll checks when necessary.
- Facilitate the completion of appropriate payroll tax deposit transactions.
- Build, run, and distribute reports and maintain paper and on-line filing system.
- Prepare vouchers for payroll deducted expenditures and submit information timely to Fiscal Services Assistant for internal funds transfer.
- Perform monthly, quarterly, calendar and fiscal period system closes per schedule.
- Prepare quarterly and annual tax filings for state and federal government.
- Prepare and distribute W-2 forms and balance all year-end reports.
- Investigate historical payroll and time data as requested.
- Accurately process and submit information such as garnishments, child support, or other legitimately requested information to the appropriate agency in accordance with county, state, or other regulatory guidelines.
- Develop and initiate data audit processes to ensure data integrity and accurate reporting.
- Assist with Accounts Payable duties, including processing invoices and creating settlement runs.
- Other Duties as assigned.
Education Requirements
- Minimum: High School Diploma
- Preferred: Associate degree
Experience Requirements
- Minimum: One (1) year payroll processing experience
- Preferred: Three (3) years payroll processing experience
