Role Summary

The Specialist, Commercial Facilities Operations, is responsible for ensuring the optimal function of commercial sites by executing daily operational tasks, maintenance activities, and managing large-scale repair and remediation projects. This role is critical in enabling teams to deliver an exceptional customer experience by effectively managing work orders, maintaining close communication with site teams and internal partners, and upholding Rivian's standards. The Specialist also supports ad hoc projects and collaborates across departments and with external partners to achieve success. A strong emphasis on proactive communication, customer service, and project coordination is essential.


Responsibilities

  • Implement programs and procedures to maintain Rivian facilities and properties at the highest standards, including responding to service and repair work orders and providing corrective action.
  • Provide daily support and guidance to repair and maintenance team members on work order issues and escalations, ensuring timely and effective resolution.
  • Drive and monitor internal and vendor performance to ensure operational efficiency and adherence to Rivian standards, including tracking KPIs and vendor SLAs for Quarterly Business Reviews.
  • Identify and escalate recurring issues, providing feedback for programmatic changes to improve operations.
  • Manage and support after-hours escalations and weekend emergencies on a rotational basis, ensuring minimal disruption to operations.
  • Track, manage, and analyze purchase requisitions and operating expenses, identifying and reporting inconsistencies to maintain budgetary accuracy.
  • Partner with internal stakeholders (e.g., Construction, Real Estate) and external partners (e.g., General Contractors) to coordinate and ensure the timely completion of warranty, landlord, and large-scale repair/remediation work orders.
  • Manage large-scale repair and remediation projects, including planning, scheduling, vendor coordination, and communication with all stakeholders.
  • Proactively communicate project updates, timelines, and potential issues to site teams and internal partners, ensuring clear expectations and minimizing disruptions.
  • Perform ad hoc facility management projects as assigned by the Repair and Maintenance Manager.

Qualifications

  • 4-6 years of experience in facilities, project management, or construction, with experience in coordinating large-scale repairs preferred.
  • Demonstrated commitment to providing excellent customer service and proactive communication.
  • Strong organizational, time-management, and prioritization skills, with a keen attention to detail.
  • Proven ability to:
    • Lead, coordinate, and manage complex facilities projects.
    • Operate independently and escalate issues effectively.
    • Manage third-party vendor and contractor relationships.
    • Manage budgets and track expenses.
    • Adapt to rapidly changing priorities in a fast-paced environment.
  • Excellent verbal and written communication, negotiation, analytical, and critical thinking skills.
  • Demonstrated working knowledge of plumbing, electrical, HVAC, and interior/exterior repairs and services.
  • Proficiency with Google Suite and CMMS software, with the ability to quickly learn new software (PO management systems, Design & Construction tools).
  • Ability and willingness to travel as required.

Pay Disclosure

Salary Range for El Segundo, CA based applicants: $98,000 - $123,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).

Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time and part-time employees, their spouse or domestic partner, and children up to age 26. Full Time Employee coverage is effective on the first day of employment. Part-Time employee coverage is effective the first of the month following 90 days of employment.
