Assistant Clubhouse Manager/Events- Riverview, FL,
Full-Time/ 40 Hours – To include nights, weekends, and holidays.
JOB SUMMARY
Assistant Clubhouse Manager/Event Coordinator responsible for developing, organizing, promoting, and managing activities and events for the community.
Essential Functions:
- Assist the General Manager with day-to-day operations, managing vendor contracts relating to the Clubhouse, development of standard operation policies and procedures.
- Ensures a presentable overall appearance of the Clubhouse and amenities.
- Serves as an on-site representative of the District to the residents.
- Assists with the following as it relates to the residents, but not limited to:
» Check resident ID cards.
» Issue resident access cards and monitor the card system.
» Respond to after-hours emergency calls.
» Interact with residents and guests on a day-to day basis.
» Notify residents of upcoming events, meetings, and general information
- Develop and coordinate the special events, programs, and recreational activities in the community including family events, seasonal and holiday events, small and large group events, charitable and fundraising events. All events must be reviewed and approved by the General Manager.
- Responsible for all event advertising and related resident communication. Materials and content must be reviewed and approved by the General Manager.
- Provide monthly event financial summaries to General Manager.
- Troubleshoot and smooth issues relating to the successful execution of events.
- Manage and adhere to budgeted line items associated with events.
- Facilitating communication with residents including timely e-blasts as needed, community calendar, and event signs.
- Purchase and display of seasonal, event, and activity decorations.
- Purchase (via Consultant supplied debit card) supplies, consumables, and other items for events as approved by the District and the General Manager, and timely review and monthly submission of invoices.
- Assistant Clubhouse Manager/Event Coordinator will report to and discuss purchases and schedule of events with the General Manager.
- Manage Enumerate online community website and application.
- Assist General Manager with creation of community newsletter and other event emails to community.
- Monitors guest and visitor policies and enforces the rules and regulations of the facility.
- Diagnose & perform minor and routine maintenance/repair in a timely and professional manner.
- Pick up debris around community.
- Responsible for maintaining equipment in good working order.
- Assesses condition of District property resulting from neglect, vandalism, depreciation and estimates the costs associated with its repair and/or replacement.
- Performs regularly scheduled reviews of preventative maintenance records and inventories.
- Maintains control of the District’s maintenance items, tools and equipment.
- Documents all complaints, injuries, and maintenance issues.
- Responsible for processing and managing work orders as needed.
- Accesses clubhouse needs and provides yearly budgetary input.
- Works with assigned contractors to ensure quality service is provided to the community.
- Assist the General Manager with workplace operations to maintain and improve effectiveness and efficiency.
- Assists with other assigned projects.

EXPERIENCE & EDUCATIONAL QUALIFICATIONS
- Possess an Associate’s Degree or equivalency with a minimum of three (3) years of related experience in the field. Educational equivalency is three (3) years of related experience (total of five (5) years of related experience if no degree).
- Successfully pass pre-employment screenings and background/reference checks.
- Possess a valid driver’s license and reliable transportation.
- Possess personal vehicle insurance with a minimum of $100,000/$300,000 liability coverage.
- Ability to travel to work, on call and weekends.
- Ability to work independently with minimal supervision.
- Ability to coordinate/manage multiple projects at the same time.
- Ability to interact and communicate effectively with colleagues, vendors, residents, and customers/clients of all professional levels.

KNOWLEDGE & CRITICAL SKILLSMust have a working knowledge of applicable company policies and procedures and must be familiar with, but not limited to:
- Knowledge/awareness and application of all rules and regulations of the amenities, including but not limited to operational hours, age restrictions, and food/drink restrictions.
- Knowledge of Microsoft Suite programs (Word, Excel, Outlook, etc.).
SUPERVISORY RESPONSIBILITIES:
Assist the General Manger in supervising amenity staff. Responsible for assisting with the performance management, hiring, and scheduling of the amenity employees within the designated Clubhouse.
WORK ENVIRONMENT: This job operates in a professional office environment with occasional exposure to outside elements. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Pay: $60,000.00 - $65,000.00 per year
