Job Description: Payroll Specialist

Position Overview:

We are seeking an energetic & detail-oriented Payroll Specialist to join our team. The ideal candidate will ensure accurate and timely processing of payroll, manage benefit plan offering/signups, and support HR-related tasks such as work comp claims. This role requires a high level of confidentiality, attention to detail, and the ability to adapt to new technology.


Key Responsibilities:

  • Payroll Administration:
  • Post employee time and make adjustments in integrated software.
  • Process a parallel run payroll in integrated software and 3rd party processor on a biweekly basis.
  • Enter payroll journal entries in integrated software biweekly.
  • Track PTO time in software and post accruals.
  • Submit and process retirement plan contributions (employee and company match) biweekly.
  • Benefits Management:
  • Oversee and facilitate onboarding for benefit offerings.
  • Provide notifications regarding benefit updates.
  • Facilitate annual open enrollment periods.
  • Compliance & Reporting:
  • Prepare annual 1099s and 1096s.
  • Submit background checks to 3rd party processor monthly.
  • Complete employment verifications and file employee paperwork as needed.
  • Claims & Incident Management:
  • Submit and handle workers’ compensation claims.
  • Oversee and file safety incident reports.
  • Manage and file insurance claims (GL/liability/auto).
  • Oversee and file unemployment claim responses.
  • HR Support:
  • Add new employees to payroll systems.
  • Start employee files and complete I-9 forms electronically.
  • Complete special projects as assigned.


Qualifications:

  • Proven experience in payroll processing and HR administration.
  • Strong understanding of payroll and benefits regulations.
  • Exceptional organizational and time management skills.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel) and payroll software.
  • Strong communication and interpersonal skills.


Work Schedule:

This is a full-time position. Regular working hours are 8:00 AM to 5:00 PM

Compensation:

Annual salary range: $52,000 - $65,000.

Benefits package including health, vision, and dental insurance, retirement options, PTO, paid holidays, and professional development.
