RKV Staffing is excited to partner with a prominent mortgage company in Hackensack, NJ, to find an outstanding Executive Assistant to join their forward-thinking team.

We seek a highly organized and proactive Executive Assistant to support our CEO in a fast-paced and dynamic environment. This position involves assisting with both business and personal duties. The ideal candidate will possess exceptional communication and multitasking skills and the ability to manage schedules, coordinate meetings, and handle confidential information discreetly. This role requires a strategic thinker who can anticipate the CEO's needs while maintaining high professionalism. There are valuable opportunities available for professional advancement and development.

The Executive Assistant will be responsible for managing the CEO's calendar, preparing reports, and ensuring effective communication across departments. The candidate must be available for after-hours and weekend work to address urgent matters, demonstrating a commitment to the CEO and the organization's goals. On-call responsibilities will be rare and limited to emergencies, with virtual assistance provided within reasonable timeframes. There will be no requirement to come into the office during off-hours.

We need someone who is technologically savvy, possesses strong computer skills, and can adapt to various software. Proficiency in Excel, PowerPoint, and Word is essential. Responsibilities:

  • Provide high-level administrative support to the CEO
  • Work directly with the CEO to manage daily activities and scheduling.
  • Responsible for keeping the CEO running smoothly and functioning optimally.
  • Task, Time, and Calendar Management of the CEO and the Business Activities
  • Tremendous FOLLOW-UP SKILLS and ATTENTION TO DETAIL on everything you touch.
  • Read and prioritize all incoming communication, ensuring deadlines are met, questions are answered, and requests are addressed.
  • Responsive and Incredible Researcher of Information - FAST
  • Extremely Well-written Individual
  • Perform data entry and maintain accurate records
  • Proofread documents for grammar, spelling, and formatting errors
  • Attention to detail is critical. Must be able to identify issues and address them appropriately.
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Handle confidential information with discretion
  • Familiarity with office equipment (e.g., printers, scanners) and software (e.g., DocuSign)
  • Assist with phone systems and handle incoming calls
  • It's valuable to adopt a 24/7 mindset and be consistently approachable to offer support whenever needed.

Preference:

  • 5 years of experience in administrative assistance at the executive level
  • Manage and maintain the CEO's calendar, including scheduling and coordinating appointments, meetings, and travel arrangements
  • Manage office supplies and equipment inventory
  • Ability to handle multiple tasks and prioritize effectively
  • Strong computer literacy, including proficiency in email management and internet research
  • Focused and dedicated to achieving results
  • Knowledge of account receivables and account payables
  • Comfortable in a high-paced environment

Education and Certification Requirements:

  • Experience as an Executive Assistant, 5 years (required)
  • Bachelor’s Degree (required)

Job Details:

  • Job Type: Full-time
  • Schedule: Monday to Friday
  • Ability to commute/relocate: Hackensack, NJ. On-Site position. Reliably commute or planning to relocate before starting work (required)
