Position Summary:
The business is seeking an experienced Office Manager to oversee the daily operations of the business inclusive of, scheduling work, dispatching technicians, sales and advertising, invoicing and billing, accounting and bookkeeping and other tasks as necessary to manage technicians in the field and daily operations.
This role involves promoting, managing, and sales of services offered by the company, ensuring
effective communication between customers, subcontractors, and technicians; and managing estimates, invoicing and billing of customers. The Office Manager will work closely with the
Principal owner and lead tech.
Key Responsibilities:
- Manage all incoming and outgoing calls to and from customers, potential customers and sub-contractors
- Prioritize and schedule jobs and technicians as appropriate
- Perform appointment verifications and ordering of accommodating parts and services as necessary to complete each job
- Create and assign PO’s for each job as necessary for tracking, invoicing and payments
- Manage billing and invoicing as necessary for each customer and job performed.
- Facilitate the completion of each job with technician and customer for record keeping, invoicing and overall customer satisfaction and any follow up
- Monitor, track and record technician hours for payroll
- Follow up with leads and online reviews as necessary
- Maintain daily work log for accuracy for business performance against monthly and yearly goals
- Maintain regular communication with technician throughout job lifecycle.
- Assist with developing marketing, branding, promotional materials, and social media
- content/posting.
Qualifications:
- 3 years of relevant experience in office management or similar roles,
- Proficiency in QuickBooks and excel.
- Excellent organizational, interpersonal, and customer service skills.
- Proficient in Microsoft Office and related systems.
- Ability to work independently and as part of a team.
- Availability for occasional evening and weekend hours as needed.
- Work Schedule:
- Monday through Friday, with occasional evening and weekend jobs.
