We are seeking a dedicated Office Manager to join our dynamic team and support our mission-driven operations.

Job Summary

The Office Manager will be the backbone of our administrative operations, ensuring the smooth functioning of our office and supporting our team in delivering exceptional pavement marking services. This role requires a highly organized, proactive, and detail-oriented individual with excellent communication skills and a passion for working in a fast-paced, woman-led business.

Key Responsibilities

  • Administrative Oversight: Manage daily office operations, including documentation, correspondence, and compliance.
  • Financial Support: Assist with invoicing, accounts payable/receivable, payroll processing, and budget tracking in collaboration with the accounting team.
  • Project Coordination: Support project managers by organizing bids, contracts, permits, miss utility tickets and client communications related to pavement marking and signage projects.
  • Human Resources: Handle employee onboarding, maintain personnel records, coordinate training, and manage onboarding administration to include E-Verify and DBIDS badging.
  • Compliance & Safety: Ensure office compliance with OSHA regulations, industry standards, and company policies, including maintaining safety documentation.
  • Team Support: Foster a positive and inclusive workplace culture, organizing team meetings, events, and employee engagement activities.

Qualifications

  • Experience: Minimum of 3-5 years of office management or administrative experience, in heavy highway construction, pavement marking, or a related industry IS A MUST. This is a fast-paced business and lack of experience will not be considered.
  • Education: No degree needed; previous experience is preferred over education.
  • Skills:
  • Exceptional organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), QuickBooks, and CRM software.
  • Strong written and verbal communication skills.
  • Knowledge of basic accounting and financial processes.
  • Ability to handle sensitive information with confidentiality.
  • VDOT Forms and compliance knowledge is preferred and will be a factor for higher pay.
  • E-Verify Trained is preferred and will be a factor for higher pay.
  • Certified Payroll knowledge is preferred and will be a factor for higher pay.
  • Attributes:
  • Proactive problem-solver with a positive, can-do attitude.
  • Comfortable working in a fast-paced environment and adapting to changing priorities.
  • Ability to work independently.
  • Preferred: Familiarity with pavement marking, construction, or traffic safety industries is a plus.
