Job Description: Administrative Assistant (Part-Time) Position Title: Administrative Assistant Employment Type: (Temp-to-permanent placement) Part-time, with potential to become full-time if transitioned to a permanent employee About the Role This opportunity is tied to a large-scale construction project currently in its peak operational phase. The administrative assistant will provide critical support to the team, ensuring daily reporting, cost tracking, and administrative coordination are done effectively. Responsibilities Daily Reporting: Compile reports from field staff (21-24 individuals) and create consolidated spreadsheets using Excel — including basic formulas, conditional formatting, and macros. Communication: Act as the liaison between field staff and the general contractor, ensuring reports and other documentation are transmitted clearly and promptly. Cost Tracking & Paperwork Management: Collect, organize, and track costs associated with the project, ensuring accurate documentation. Budget Coordination: Ensure catered lunches are organized within strict budget guidelines. Includes arranging for delivery, setup, cleanup, and appropriate disposal. Administrative Support: Provide support such as tracking paperwork for onboarding, coordinating orientation processes, and assisting PM (Project Manager) and OM (Operations Manager). Team Collaboration: Work with seven field leadership members to gather information and data critical for the project's administration. Observation & Organization: Exhibit attention to detail and organizational skills to manage site tasks efficiently.
