Administrative Assistant with Accounting Background

Job Overview
We are seeking a detail-oriented Administrative Assistant with an accounting background to support our monthly fleet contract management and rental billing operations. This role requires a strong analytical mindset, experience in monthly invoicing, and the ability to manage contract changes efficiently. The ideal candidate will be highly organized, adaptable, and capable of handling a busy month-end close process.
Key Responsibilities
- Monthly Invoicing & Contract Management:
- Process and manage rental billing for a fleet of assets (80-90% of the role).
- Ensure accurate and timely monthly invoicing for all contracts.
- Track and implement contract changes as they occur throughout the month.
- Data Analysis & Accounting Support:
- Utilize Excel (including Pivot Tables) to analyze invoicing data and track fleet contracts.
- Maintain and reconcile billing records with accuracy.
- Ensure compliance with EDI (Electronic Data Interchange) processes, if applicable.
- Administrative Support:
- Assist with fleet contract documentation and updates.
- Support month-end close activities and other administrative tasks as required.
- Communicate with internal teams and clients to address billing inquiries and contract modifications.
Requirements & Qualifications:
- Experience in the Oil & Gas industry preferred.
- Strong accounting and invoicing background, with an understanding of rental billing.
- Advanced Excel skills (Pivot Tables, VLOOKUP, data validation).
- EDI experience is a plus but not required.
- Exceptional attention to detail and ability to manage multiple contract changes.
- Strong analytical and problem-solving skills.
- Ability to work independently and handle a fast-paced month-end workload.
