Established law firm has an immediate opening for an Administrative Assistant! This Administrative Assistant will support multiple attorneys and staff with day-to-day operations. This role is based on-site in Carmel, CA and involves crucial administrative tasks that facilitate the smooth running of the firm's operations including receptionist duties, interacting with clients, organizing files, and providing exceptional customer service. The ideal candidate will have 1-4 years of administrative experience; prior law firm experience is a plus but not required.
Responsibilities:
- Outlook Calendar management
- Scan physical files and creating electronic files using Clio
- Address envelopes, drop off mail and bank deposits on occasion
- Answer incoming calls at front desk
- Greet clients upon arrival
- Set up conference rooms for meetings
- Basic use of Word, Excel
- Make edits to some documents with Attorney discretion
- Trial preparation
- Legal document preparation
Qualifications:
• One or more years of experience in an administrative role
• Proficiency in answering phones
• Experience using in Microsoft Word and Outlook
• Excellent written and verbal communication skills
• Ability to multitask and prioritize workload
• Strong attention to detail and organizational skills
