We are seeking a versatile and highly motivated Administrative Operations Specialist to join our client dynamic team at a transportation technology company in its start-up phase. As a key member of their back office operations, this role will require a proactive "jack-of-all-trades" approach and the ability to thrive in a fast-paced, evolving environment. The ideal candidate is flexible, detail-oriented, and comfortable taking on a variety of tasks to help drive the success of the organization.


Key Responsibilities:

Administrative Support:

  • Manage day-to-day office operations, including scheduling meetings, maintaining records, and coordinating communications.
  • Prepare and organize internal documents and reports to support management.
  • Assist with expense tracking, invoice processing, and budget preparation as required.

Operations Assistance:

  • Provide hands-on support across various departments, including logistics, customer service, and technical teams as needed.
  • Ensure smooth workflows and troubleshoot any operational challenges.
  • Coordinate vendor relationships, office supplies, and other external services.

Project Management:

  • Participate in key initiatives to support growth and scalability, taking ownership of tasks that align with operational goals.
  • Monitor project timelines, milestones, and deliverables to ensure priorities are met.
  • Provide administrative coordination for team members to ensure productivity and efficiency.

General Duties:

  • Adapt to evolving responsibilities as the company grows and take ownership of new tasks.
  • Collaborate cross-functionally to address urgent needs, acting as the go-to resource for support.
  • Contribute to fostering a collaborative, start-up team culture grounded in problem-solving and innovation.


Qualifications:

  • Bachelor’s degree or equivalent work experience in business, operations, or related fields is required.
  • Previous experience fast-paced environment preferred.
  • Strong organizational, multitasking, and problem-solving skills.
  • Proficiency in office software and tools, such as Microsoft Office Suite, Google Workspace, and familiarity with project management platforms like Trello or Asana.
  • Excellent written and verbal communication skills.
  • Ability to work flexible hours and adapt to the demands of a growing organization.


Preferred Skills:

  • Experience in transportation, logistics, or technology industries is a plus.
  • Familiarity with navigating data reports and operational analytics.
  • Confidence in streamlining processes and implementing systems for greater efficiency.

Salary : $55,000 - $65,000
