Billing Coordinator

We are on the lookout for a proficient Billing Coordinator to be an integral part of our team. Situated in Seattle, Washington, the role involves meticulous management of project accounting in our industry. This position offers a short term contract employment opportunity.Responsibilities:• Execute the setup of new projects within the accounting system.• Ensure the accurate preparation and dispatch of client invoices.• Conduct a detailed review of project costs, transferring hours or expenses as required.• Maintain comprehensive records of projects, including contracts and change orders.• Liaise effectively with project managers and principals regarding various aspects such as contract documents, change orders, contract modifications, approvals, and additional services relevant to client invoicing.• Scrutinize sub-consultant invoices against fee maximums and contracts and post these invoices to respective projects.• Investigate and resolve issues that render projects unbillable.• Prepare specialized project analyses for project managers.• Prepare the final invoice for all billable projects, ensuring it meets the approval and signature of the Controller.• Regularly report and communicate with management regarding the remaining funding available for projects.• Aid the Controller in reconciling variances that occur in the application of cash receipts.• Respond promptly and efficiently to client requests for additional details.• Ensure the closure of project accounts upon the completion of projects.• Provide support for Concur expense report processing, including the review of expenses and processing for payment.• Assist in the writing of AIA contracts for subconsultant agreements and some client contracts.• Maintain the organization and filing of consultant Certificates of Insurance.• Offer general support to the Accounting team.• Assist in the preparation of Federal reports such as ISR, SSR, and Department of Commerce Surveys.
