We are seeking an Executive Assistant to join our team located in Portsmouth, New Hampshire. In this role, you will be providing comprehensive support to our CEO, President, and other key business operations. This position is in a professional office environment and offers a long-term contract employment opportunity.
Responsibilities:
• Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
• Oversee internal and external communication, ensuring all emails, phone calls, and correspondence are managed effectively and professionally.
• Coordinate logistics of team meetings including sending out emails to the team and arranging necessary conference calls.
• Handle processing expense reports and approving expenses.
• Facilitate smooth communication between the executive team and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
• Handle confidential information in a professional and discreet manner.
• Assist in the preparation of regularly scheduled reports.
• Develop and maintain an efficient documentation and filing system.
• Manage office supply inventory and place orders as necessary.
• Perform other related duties as assigned, supporting the overall business operations.
• Proficient in Calendar Management including scheduling, coordinating, and updating appointments and meetings
• Exceptional Communication skills, both written and verbal, to effectively interact with various stakeholders
• Familiarity with handling Conference Calls, including scheduling, hosting, and minute taking
• Ability to manage Correspondence, including drafting letters, emails, memos, and reports
• Minimum of 3 years of experience in an Executive Assistant role or similar
• High level of discretion to handle confidential information appropriately
• Strong organizational skills with an ability to multitask and prioritize effectively
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
