Front Desk Administrator – High-Volume Law Firm

Position Overview
We are seeking a highly organized and professional Front Desk Administrator to manage all reception and administrative tasks for our fast-paced law firm. This role is essential in ensuring smooth office operations and exceptional client service. You will be the first point of contact for clients—primarily individuals seeking Social Security Disability benefits—while handling confidential materials, coordinating with remote attorneys and case managers, and maintaining office efficiency.
Key Responsibilities
- Warmly greet visitors and professionally handle incoming calls.
- Accurately input and manage client data using Aderant Total Office (ATO).
- Process, scan, and distribute incoming and outgoing mail.
- Manage daily and monthly expense invoices and collection letters.
- Accept and process client invoice payments over the phone.
- Maintain office supplies and ensure the office/kitchen is stocked.
Responsibilities
- Construct and modify budgets effectively
- Strategically allocate funds to optimize income streams
- Handle financial reconciliations, ensuring accuracy and compliance
- Manage the vouchering process for grants on a quarterly basis
- Utilize Accounting Software Systems and ADP - Financial Services for financial management
- Maintain and manage Accounts Payable (AP) and Accounts Receivable (AR)
- Conduct regular audits to ensure financial accuracy and transparency
- Utilize Crystal Reports to present financial data and reports
- Manage Budget Processes efficiently and effectively
- Ensure adherence to Federal Grant and Government Grants policies
- Oversee Grant Accounting and Grant Management, ensuring compliance and accuracy.
Qualifications & Skills
- 10 years of administrative or front desk experience in a professional setting.
- Strong computer proficiency with a paperless office mindset.
- Proficiency in Accounting Software Systems for streamlining financial operations
- Experience with ADP - Financial Services for efficient payroll management
- Familiarity with Crystal Reports for generating dynamic reports
- Strong understanding of Accounting Functions to maintain financial health of the organization
- Experience in managing Accounts Payable (AP) and Accounts Receivable (AR)
- Proven track record in Auditing to ensure compliance with financial regulations
- Knowledge of Budget Processes for effective financial planning and control
- Experience in Federal Grant and Government Grants accounting
- Proficiency in Grant Accounting for appropriate use of funds
- Experience in Grant Management for overseeing the grant process from application to completion
