Job Summary

Responsibilities
Daily Tasks & Administrative Duties:
- Respond to emails and internal ticket requests using client portal systems
- Use internal app to track requests and report to supervisors
- Manage parking validation and badge/registration requests
- Conference room management and internal client support
- Walk the floor, restock pantry, and ensure office upkeep
- Provide support across services such as:
- Concierge/Reception
- Conference & Meeting Room Management
- A/V Support
- Event Management
- Office Supplies & Mail Services
- Onboarding
- Food, Parking & Shuttle Programs
- Pet Programs, Document Services, Space Resets, etc.
- Coordinate with vendors providing goods and services
- Ensure vendors have up-to-date insurance and contract documentation
- Attend move meetings and assist with coordinating office moves
- Maintain databases, SharePoint sites, and program material accuracy
- Manage invoice processing, travel arrangements, and expense reporting
- Administer onboarding for team members and third-party providers
- Handle business continuity documentation
- Greet and engage guests warmly at the facility
- Respond to inquiries and complaints with empathy and professionalism
- Answer phones and direct calls with a polished demeanor
- Coordinate recreational and business activities on request
- Organize on-site events including setup/teardown and supply delivery
- Manage janitorial/maintenance work orders as needed
- Support mail, office supply services, and other workplace initiatives
- Follow property-specific emergency and safety protocols
Requirements (Must Haves):
Education & Experience
- High School Diploma or GED required
- 1–2 years of related experience (e.g., Front Desk Reception)
- Strong written and verbal communication skills
- Ability to interact with and support internal staff and guests
- Warm, engaging, and collaborative demeanor
- Comfortable meeting and assisting new people
- Able to comprehend and respond to instructions, memos, and reports
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, OneNote, SharePoint, etc.)
- Comfortable learning and using new technologies, digital tools, and apps
- Basic reasoning and analytical skills to solve standard problems
- Ability to follow instructions and complete tasks with attention to detail
- Strong organizational skills and an inquisitive mindset
- Ability to lift up to 50 lbs to assist with warehouse operations
- Interest in anticipating and serving the needs of others
- Understanding of basic financial concepts (e.g., calculating percentages)
