The Outreach Coordinator will play a vital role in supporting the firm’s outreach efforts by coordinating events, managing marketing inventory, and preparing marketing materials. This position requires strong organizational skills, attention to detail, and the ability to collaborate effectively with the Event Coordinator, Outreach Creative, and other members of the marketing department. The Outreach Coordinator must communicate and report efficiently to all parties within the marketing team, ensuring seamless coordination and execution of outreach activities. This position reports to the Outreach Creative and provides additional support as needed to the Office Manager and Firm Administrator.
Key Responsibilities:
- Event Research and Coordination
- Research potential events for firm participation and present findings to the Event Coordinator and Outreach Director.
- Work closely with the Event Coordinator and Outreach Creative to organize logistics, including scheduling, registration, and communication with event organizers.
Marketing Material Preparation
- Coordinate with Outreach Creative and marketing personnel to prepare materials for events, ensuring alignment with branding and outreach goals.
- Oversee the assembly of marketing wallets and other promotional items with assembly personnel to maintain quality and accuracy.
Marketing Inventory Management
- Manage marketing inventory, both physically and through software tracking systems, to maintain accurate counts and identify replenishment needs.
- Conduct regular inventory checks and reorder items as necessary, ensuring materials are available for all events and outreach activities.
Lunch & Learn Scheduling and Setup
- Schedule Lunch & Learn events, coordinating with the Event Coordinator and team members to finalize details.
- Order food and supplies, attend events, and assist in the setup of presentations and materials.
Administrative Support
- Provide additional support as needed to the Office Manager, Outreach Creative, Outreach Director, and Firm Administrator.
- Adapt to changing project needs and take on various outreach-related tasks as assigned.
Qualifications:
- Proven experience in event coordination, marketing support, or a related field.
- Strong organizational skills and attention to detail.
- Ability to manage multiple projects simultaneously and meet deadlines.
- Excellent communication skills, with a focus on efficient reporting to all marketing department members.
- Familiarity with inventory management systems and marketing tools.
- Proficiency in Microsoft Office Suite; experience with marketing software is a plus.
- Ability to lift and transport marketing materials when needed.
