GENERAL DUTIES AND RESPONSIBILITIES:
The position's primary duties include answering/directing incoming calls, greeting/directing visitors at the corporate office and assisting the Chief Human Resource Officer, Human ResourceDirector, Benefits Manager, and Human Resource Coordinator with general clerical duties such as filing, typing, copying, correlating, organizing, and maintaining a well run Human Resource Department.
SPECIFIC DUTIES AND RESPONSIBILITIES:
- Serve as receptionist for RHCC’s corporate office.
- Serve visitors by greeting, welcoming, directing and announcing them appropriately.
- Answer and forward incoming phone calls while providing basic information as needed.
- Receive and distribute daily mail/deliveries/couriers.
- Maintain security by following procedures and controlling access in the corporate office (maintain logbook, issue visitor badges) and lock front door at the end of the day.
- Provide administrative assistance to corporate office staff as time allows.
- Responsible for accurately filing all personnel information on a daily basis, following the layout provided by the Human Resource Manager.
- Responsible for making personnel files for all new employees as directed by the Human Resource Manager.
- Ensures a supply of the RHCC Personnel Policies & Procedure Manual is copied, bound, and available at all times.
- Responsible for scheduling the use of the HR conference room to eliminate “double booking” for meetings or activities.
- Responsible for completing inventory of former employees’ abandoned property before turning over property to Finance.
- Ensures all personnel paperwork is scanned and saved to the electronic personnel files in a timely manner.
- Responsible for mailing Position Filled letters to all applicants/candidates that apply for positions with Robeson Health Care within two weeks of the position being filled.
- Perform any other necessary duties as required by the Robeson Health Care Corporation.
- Maintain the confidentiality of Robeson Health Care Corporation and that of the patients/clients/staff.
QUALIFICATIONS:
- Minimum of 2 years office work experience required; Associate’s degree with 2 years related work experience preferred
- Must be proficient in Microsoft office including Word, Excel, PowerPoint and Microsoft Outlook.
- Excellent organizational, prioritization, and interpersonal communication skills. Service oriented and customer focused behavior. Ability to use good professional judgment required.
- Must respect confidentiality of all communications handled in job duties: client/employee records and documents
- The ability to type 50 words per minute.
- The ability to communicate effectively in person and on the telephone with other staff, the public, and patients
- Must have a valid North Carolina driver’s license.
