Job Requirements:
Must be credentialed as a medical professional experienced in LTC environment (Skilled Nursing, Assisted Living, and Memory Care). A Registered Nurse licensed in the District of Columbia strongly preferred. Must have ability to apply clinical, financial, and sales/marketing principles to day-to-day work to effect census targets and maintain payer mix. Possesses high-quality verbal and written communication abilities, strong customer service skills, and is detail oriented. Is a consummate team player with scheduling flexibility to accommodate admissions. Is proficient with computer applications. Is knowledgeable of pertinent local and federal regulations
Job Summary:
The Director of Admissions is responsible for coordination of all admission activities for subacute rehab, skilled nursing, and assisted living programs at Ingleside. Works independently or in conjunction with the Administrator, the Director of Nursing, the AL Delegating Nurse, or the Director of Memory Support to recommend and/or approve/decline referrals for admission. Use critical thinking skills for admission decisions based on census targets, care needs, and level of acuity on the admitting unit. Communicates with Business Office to ensure sound financial practices are maintained with regard to the admission process, census development, and census projections that meet volume targets. Markets Ingleside’s services to physicians, hospital case managers, and other viable referral sources to generate consistent admission flows. Participates in the quarterly QAPI process and prepares/submits other required reports as scheduled.
Key Responsibilities:
- Responds to admission inquires including but not limited to hospital social workers, families, and prospective residents.
- Ensures that appropriate information is provided to inquiring persons and gives or arranges tours as determined.
- Coordinates the admission process including verifying transfer time, receipt of orders, notifying the appropriate team members of admission and time.
- Enters necessary information into EMR and assures that other admission documentation is filed in compliance with IRC’s policies. Distributes as appropriate.
- Manages wait list for SNF and coordinates with AL leaders regarding wait lists for AL and MSAL.
- Ensures information maintained is current and accurate.
- Coordinates admission dates for AL/MSAL residents with MSAL Director and RN Delegating Nurse.
- Communicates firm dates with medical staff and other parties involved. Coordinates process for successful late evening or weekend/emergency using telephonic and written communication, voice mail, e-mail, etc.
- Supports nursing team to update and maintain accurate daily resident census available in EMR, to include discharges (planned or AMA), returns to hospital, or other census changes.
- Assure all rooms have been cleaned and prepared for new resident admission.
- Prepares required reports to reflect admissions, discharges, referral sources, referrals denied (with reasons), and other necessary information.
- Participate in quarterly QAPI meetings. Prepares and presents information based on data collected in J. above.
- Attends weekly Utilization Review meeting where admissions and discharges are discussed.
Hospital Communications
Maintains open communication with local hospitals to ensure bed availability and discuss possible resident or admissions concerns.
- Calls hospitals to obtain information on hospitalized residents (treatment, discharge plans) and shares this information with appropriate staff
- Is informed regarding surgical or other planned procedures for existing residents that will require hospitalization. Communicates with hospital personnel (i.e., case managers) to determine re-admission plans and transition back to Ingleside.
Community Outreach and Marketing
Performs marketing functions for new residents’ admission to the Ingleside community.
- Markets to all area hospitals, Senior Agencies, physicians, and church groups regarding the Ingleside community and services it provides.
- Creates and updates contracts and informational brochures for potential admissions. Send brochures to prospects upon request.
