Wage rate: $65k to $77k commensurate with experience

Schedule: Monday through Friday with rotating Manager on Duty responsibilities

Job Requirements 

A college degree is preferred. Some college may be considered in lieu of experience. The candidate must be customer-focused, detail-oriented, highly organized, flexible, and able to work with minimal supervision. A quality service orientation is a must. The candidate must also be a good communicator, a strong team player. Must be proficient in the operation of computer applications. Have both excellent oral and written communication skills. 3-5 years Senior Living Community experience preferred.  Sales, Interiors and Project Management experience a plus.  

Job Summary           

The Move-in and Transitions Manager is responsible for selling, ordering, coordinating, inspecting, and accounting for the installation of custom finishes and upgrade products in both current and future residents’ apartments. The MTM's efforts will assist the community to increase the absorption rate of new apartments and to speed up the re-sale of existing apartments. This position is primarily responsible for managing all the physical and aesthetic aspects of both external and internal moves for the community as well as the construction process. Additional duties include administrative support of the Property Management team. 

Key Responsibilities

Move Coordination Responsibilities

Coordinates those aspects of residents’ transition into and throughout the continuum of care that relate to the physical move preparation and completion process.

Coordinates all phases of the physical turnover process for Independent Living Apartments, Assisted Living Apartments and Cottages as necessary.  Tracks and ensures all specified refurbishments have been completed, signed off on and ready for move in.

Meets with new and current residents to guide them through the options selection process, provides pricing information to residents, and obtains approval from residents for Options and additional costs, as relevant.

Responsible for clear, prompt, and accurate communication with the Director, Property Management and Sales and Marketing Director as it relates to material selections for all refurbishments.

Responsible for a wide variety of access points and keys, and responsible to keep those keys in a secure location.

Uses appropriate computer software packages and/or spreadsheets to manage options appointment selections and to give pricing quotes to residents. Maintains and updates all project plans and work order software as it pertains to new resident’s move-ins.

Ensures that all appropriate residence vacancy notices are provided and forms signed by residents and/or Powers of Attorney on time. Notifies colleagues when such forms are signed and turned in.

New Residents   

Coordinates with the Marketing department to manage the transition of new residents from their current home to their new residence. 

Provides resident with list of all necessary preparations for moving out of their current home.  Prepares directions for moving in to new residence to aid in the transition.

Maintains open communication with new residents and staff to answer any questions or concerns regarding the move or transition.

Sends new resident updated newsletters and publications to keep informed of events and functions throughout the community.  Encourages residents to attend functions for social activity.

Forwards written correspondence to new and prospective residents to keep up to date on status of move-in day and processes.

On move-in day, oversees the “Welcome” process, including preparing and delivering Welcome Baskets, preparing and delivering the Resident Handbook, and reviewing key safety and security information.

Checks on residents after move-in is completed to ensure all needs and expectations have been properly met.

Communicates with management staff weekly of upcoming transitions.

Creates and conducts resident satisfaction survey of move-in process and analyzes results.

Current Residents  

Coordinates with Resident Services, Marketing and Property Management to manage the transition of current residents from their apartment/cottage to another apartment/cottage/assisted living apartment in the community.  

Provides current residents with list of all necessary preparations for moving out of their current apartment/cottage. Prepares directions for moving into another apartment/ cottage. 

Maintains open communications with current residents to answer any questions or concerns regarding the transition within the community. 

Forwards written correspondence to current residents to keep up to date on status of: Construction progress, move-in day and community information.  

Checks on residents after move-in is completed to ensure all needs and expectations have been properly met.   

Conducts resident satisfaction survey of move-in process and analyzes results. 

Refurbishment Functions 

Coordinates directly with Director, Property Management schedule and complete refurbishment of resident apartments and/or cottages prior to move-in day. 

Performs walk-through of each available apartment and/or cottage and notes repairs and maintenance required.  Notifies maintenance of all repairs and date to be completed. 

Meets with prospective residents to assist in the selection of upgrades to the standard unit.   

Records all selections made by residents for their new apartment or cottage.  Forwards selections to maintenance/contractor for implementation and to Finance for any additional charges to be billed. 

Works with contractors and the Director of Property Management to plan, organize, and direct activities to complete resident and Community scope lists.  

Maintains contact with resident to update on progress of refurbishment and answer questions or concerns in regard to new apartment or cottage.  Records all contact made in marketing log book. 

Completes final walk through of refurbished apartment and/or cottage to ensure all resident needs and selections were met. Creates/completes final punch list of construction, signs off on inspection sheet and places in resident file. 

Administrative Functions

Performs clerical functions for the Property Management department as well as other general office duties as assigned. 

Performs word processing and clerical duties as requested in a timely and accurate manner; proofs all work before forwarding to resident or staff, ensuring 100% accuracy. 

Attends and participates in various meetings and work groups as requested by the Director, Property Management
