Rockbrook is a sleepaway summer camp for girls located in the “heart of a wooded mountain” in Western North Carolina. Founded in 1921, our summer camp provides an exciting and enriching, fun and formative, camp experience for girls and teens ages 6-16.
Position Summary: The primary role of the Office Assistant is to assist the Office Director with administrative tasks, communication, organization, and support to the leadership team and accountant during the summer season. This position works in the Rockbrook office and reports to the Office Director and Camp Directors/Owners.
Time Commitment: This is a full-time, temporary position for our summer season. Hours expected are 40 per week, with occasional overtime. The Rockbrook Office is open 7 days a week while campers are in session, with office staff present from 8am-8pm. During session breaks the office is staffed from 9am-5pm. Shifts rotate and time off is scheduled with the other office staff to ensure consistent coverage. This position is considered day staff, does not live at camp, and is not expected to work outside of the days and times agreed upon.
Compensation: This is an hourly position or opt to receive a scholarship for camper tuition.
- Pay is commensurate with experience.
- Snacks and meals are available during each shift.
Responsibilities:
Provide Office Director with assistance in/with the following duties:
- Maintain the camp office, including cleanliness, office supplies, postage meter, copier, recycling, forms, documents, etc.
- Help to expedite office business and the handling of any office concerns in a courteous manner.
- Answer questions and provide guidance to the appropriate resources for campers and staff.
- Answer phones, check voicemail, read and respond to emails and text messages, take accurate messages and ensure they are delivered and/or replied to in a timely manner (within 24 hours).
- Facilitate staff and camper calls to parents per camp policies.
- Pick up mail from post office, organize, and distribute daily; collect outgoing mail from Dining Hall Porch and deliver to the post office daily; maintain Rockbrook’s Package Policy by sorting and storing packages accordingly
- Print parent emails and sort for delivery by Hi-Ups to camper mailboxes daily
- Organize, print, and manage camper forms, parent postcards, Spirit Fire songsheets, CHAPEL programs, Opening and Closing Day packets, and other materials as needed.
- Create and distribute signage for camper/staff dietary allergies and camper birthdays each session.
- Ensure accurate receipt and shipping of camper luggage.
- Organize and communicate camper flights and transportation in and out of camp.
- Ensure that work requests are delivered and responded to by Maintenance in a timely manner.
- Support Camp Store with inventory management, tally and record camper accounts before the end of each session.
- Some duties may be reassigned and other duties may be assigned as needed.
Minimum Qualifications:
- Strong written and verbal communication skills; excellent organizational and time management skills.
- Great customer service and interpersonal skills; friendly, service-oriented personality with a sense of humor, patience, and self-control.
- Keen attention to detail; problem-solving and basic troubleshooting skills.
- Proficiency with computers, common word processing, and spreadsheet software.
- Comfortable in a fast-paced environment; ability to accept guidance and supervision.
- Desire and ability to work in a camp setting; experience with youth preferred.
