Position
The Vendor Management Analyst will support the Head of Vendor Management across the full life cycle of vendor activities, including planning, due diligence, contract reviews, ongoing monitoring, business continuity planning, and terminations. The Vendor Management Analyst will play a key role in managing and updating the team’s third-party management application and will help drive the automation of processes and reporting, to support and improve the Vendor Management program.
Responsibilities
The anticipated base salary range for this role is $80,000 to $85,000. Base salary for the role will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience, and may fall outside of the range shown. In addition, this role may be eligible for a discretionary bonus. The Vendor Management Analyst will play a key role in managing and updating the team’s third-party management application and will help drive the automation of processes and reporting, to support and improve the Vendor Management program.
Responsibilities
- Supports the Head of Vendor Management in working with internal business stakeholders on defining vendor requirements and the negotiation of contracts. Will be responsible for contract administration of standard contracts, including assisting with NDAs, SOWs, terminations, etc.
- Assists with coordinating the review of vendors and associated agreements with applicable internal stakeholders including legal, compliance, finance, and technology.
- Works with internal control partners, such as legal, compliance, technology, finance, and information security/business continuity to ensure their engagement in the process and secure their necessary approvals, as required.
- Works with internal constituents to project manage and oversee the request for information (RFI)/ request for proposal (RFP) processes to support new vendor evaluations.
- Coordinates with vendors to secure necessary due diligence documentation for on-boarding review and approval.
- Supports ongoing governance of firm’s third-party vendors including performance, quality of service, accurate invoicing and support.
- Escalates vendor performance and security risk issues to Head of Vendor Management and others as needed.
- Manages specific one-time projects from inception to completion.
- 2-4 years of experience in Vendor Management or Third-Party Risk Management
- Bachelor’s degree is required
- Strong communication skills; including follow up and follow through and the highest level of attention to detail
- Robust project management and interpersonal skills
- Self-starter who can work independently with strong ability to determine proper priorities
- Creative problem-solving skills and an entrepreneurial mindset with the ability to work well independently
- Strong writing skills with the ability to convey key contract details in a concise synopsis for executive review and approval
- Experience running RFI/RFP lifecycle processes including project management, scheduling meetings, following up on action items, presentation overviews, etc.
- Basic understanding of how to build a vendor contract financial model including treatment of one-time fees, recurring fees, capitalization, in year financial impact, etc.
- Comfortable engaging with unfamiliar employees and vendors throughout the vendor lifecycle process
- Eye towards continuous process improvement and identifying efficiencies
- Familiarity and willingness to understand and maintain a system/application, preferably a risk/vendor management application
- Excellent time management skills, ability to prioritize work and meet competing deadlines
- Adaptable, comfortable in ambiguity, knows how to solve problems
- Ability to use discretion and handle confidential, sensitive information
- Intellectually curious, high energy, driven, ambitious, commercial; wants to win and works well in fast-paced environment
- Highest level of technical capabilities and proficiency across full Microsoft Office suite; experience with a third-party risk solution, preferred
