Rocket Media is looking for a rockstar Executive Assistant to partner with our CEO and keep things humming across the board. This isn’t your typical admin gig—you’ll be the CEO’s right-hand person, helping manage everything from scheduling and emails to team events, sales support, and even a bit of building maintenance (hello, holiday decorations!).

What You’ll Be Doing
- CEO’s Executive Assistant: Organize the CEO’s second brain efforts, calendar management, email management, and meeting coordination. You must be a proactive problem solver willing to take the initiative to help support the CEO.
- Employee and Client Engagement and Support: Inbound Phone Lead, Sales Support (Leads, Intro calls, admin items, mailings), Rocket Love (Staff, Client), Lead Culture Club meetings, and assign tasks accordingly. Schedule and plan team events, culture events, Lunch and learns, Company Picnics, and Holiday Parties.
- Technology and Data Management: Support management of phone systems and sales software. Manage meetings and post to appropriate communication channels.
- Human Resources / Hiring: Manage initial interview process with prospective employees, schedule interviews, conduct background checks, and assist with employee onboarding and offboarding.
- Sales and Marketing Support: Manage sales leads, coordinate introductory calls, handle various administrative tasks, and manage mailings to ensure smooth communication and follow-up with potential clients. This position will support sales campaigns, including coordinating specific initiatives such as the NFL campaign and assisting with logistics and communication. Additionally, this role includes providing marketing support for trade shows, including preparation and coordination of materials, booth setup, and on-site assistance to ensure successful event execution.
- Building maintenance and support: Document and schedule all repairs and maintenance for the office building. Oversee holiday decorations and nourishment provided for employees. Manage security system access for new and existing employees or vendors with building access.
Key Attributes/Requirements
- 1-3 years of administrative experience, preferably within a marketing industry.
- Ability to work in a fast-paced environment while serving as a liaison to the CEO, department managers, team members, partners, and customers.
- Excellent verbal and written communication skills (all emails must come with a “tl;dr” version and at least one internet meme).
- Highly computer literate with proficiency in Apple Computer Software including Spreadsheet (Excel/Sheets), Word-processing (Word/Docs), and presentation software (PowerPoint/Slides). HubSpot CRM knowledge is a bonus!
- Ability to prioritize and work on multiple tasks with minimum supervision. Once you get your “Rocket Legs” under you, you will be expected to pull work from the CEO as much as possible.
- Must have amazing organizational skills–seriously, amazing!
Additional Details
- This is a 90% in-office role. Remote work is available; however, you will be managing our facility and helping the CEO, which will require you to be in the office the majority of the time.
- You should consider your primary role supporting the CEO. Secondarily, you will be a utility knife role with all sorts of responsibilies and tasks to manage the facility and support the team.
