GENERAL DESCRIPTION
This dual position will 1) provide essential administrative support for the Homes for All Veterans Program (HAV) and 2) work with HAV Eligibility Specialists to assist in establishing eligibility in the HAV program for Veterans and their families. The Program Coordinator is responsible for working closely with the HAV Eligibility Specialists, Outreach Specialist, and Intake and Outreach Supervisor to facilitate client entry into the HAV program and maintain appropriate client and program records.
Essential Duties
- Provides administrative coordination for the Southern Colorado HAV team and program including coordinating the timely submission of program financial assistance requests, budget tracking reports, client case trackers, and other products to meet all SSVF program requirements.
- Provides in-person office coverage for Colorado Springs front desk, when necessary.
- Assists the HAV Intake and Outreach Supervisor, Eligibility Specialist, and Outreach Specialist with new clients, including answering questions regarding intake process, eligibility, and services.
- Enters client data into the Homeless Management Information System (HMIS), and assist with monthly audits.
- Works 1:1 with VSS team and as a group at weekly Team Meetings to ensure an updated Cases by VSS tracker and Caselogic tasks are active active for timely submissions, completed, and entered in HMIS.
- Safeguards client information and reviews case files for accuracy and completeness at the time each case is recertified and closed.
- Works with the Program Manager/Supervisors and HAV Intake and Outreach to provide periodic audits of case files, including matching case files contents to HMIS data.
- Works collaboratively with HAV Program Manager/Supervisors, HAV Team Lead, and Finance to ensure accurate and timely fund distribution.
- Maintain a monthly budget and spending tracker for the Colorado Springs office with the fund requests sent to Finance.
- Responsible for support in reconciliation of credit card accounts for HAV Team members.
- Manages the Colorado Springs HAV vehicle records; coordinates with RMHS Facilities Manager for maintenance and repair of HAV-assigned vehicles.
- Represents grant program at community and Veteran events.
- Performs other duties as assigned.
Knowledge, Skills and Abilities
- Excellent organizational, communication and customer service skills.
- Ability to work independently while meeting work requirements and program standards.
- Maintain general office procedures; phone coverage, mailings and filing.
- Proficiency in Microsoft Office Suite programs, computer functions and ability to enter data in Homeless Management Information System (HMIS)
- Ability to engage and maintain positive, professional relationships within the community through public speaking, participation in meetings/events, and client advocacy.
- Promotes program mission and adheres to policies, procedures and guidelines as defined by RMHS and SSVF.
Qualifications
MINIMUM QUALIFICATIONS
- 2 years administrative work experience
- Work experience meeting reporting requirements and deadlines
- Must have valid driver’s license and proof of insurance
PREFERRED QUALIFICATIONS
- Associate or Bachelor Degree in communication or human services field, or equivalent combination of education and experience.
- Prior experience working with homeless populations
- Prior military service and/or experience with working with military/Veteran population
PHYSICAL REQUIREMENTS
Frequent sitting, working at computer keyboard and desk, regular standing to file, perform other office functions, occasional bending, stooping and lifting up to 10 lbs. Ability to walk safely and comfortably on non-level surfaces. May require travel in the Denver Metro and surrounding areas.
Salary : $19 - $20
