Job Summary:
Rocky Mountain Landscape & Fence is looking for a friendly and highly organized Office Receptionist to manage daily administrative tasks, customer communication, scheduling, billing, and employee time tracking. The ideal candidate will be the first point of contact for clients and team members, ensuring smooth office operations and excellent service.
Key Responsibilities:Front Desk & Customer Service:
- Greet clients and visitors professionally and assist with inquiries.
- Answer and direct phone calls, emails, and messages in a timely and courteous manner.
- Provide general information about services and schedule appointments.
Administrative Support:
- Perform general office duties, including filing, data entry, and document organization.
- Maintain office supplies inventory and order materials as needed.
- Assist with various clerical tasks to support management and field crews.
Calendar & Scheduling:
- Manage and coordinate appointments, crew schedules, and job assignments.
- Dispatch crews and provide logistical support for field operations.
- Confirm appointments and notify clients of any schedule changes.
Billing, Reporting & Time Tracking:
- Process invoices, track payments, and handle accounts receivable/payable.
- Generate and maintain financial and operational reports.
- Monitor and verify employee time tracking to ensure accurate payroll processing.
Dispatch & Operations Support:
- Communicate job details to crews and ensure work orders are properly documented.
- Monitor project progress and relay updates between office and field staff.
- Assist in problem-solving and workflow adjustments as needed.
Qualifications & Skills:
- Experience: Minimum 1-2 years of office or receptionist experience (preferably in landscaping, construction, or a similar industry).
- Technology: Proficiency in Microsoft Office (Excel, Word, Outlook). Experience with QuickBooks or scheduling software is a plus.
- Time Tracking: Experience with employee time tracking systems or payroll software preferred.
- Organization: Strong multitasking, time management, and problem-solving skills.
- Communication: Excellent verbal and written communication skills.
- Professionalism: Friendly, approachable, and able to provide outstanding customer service.
- Adaptability: Ability to work independently and handle multiple priorities in a fast-paced environment.
Preferred Qualifications:
- Experience in the landscaping, fencing, or construction industry.
- Familiarity with CRM, scheduling, and time-tracking software.
- Bilingual (English/Spanish) is a plus.
