Title: Accounting Support Specialist
Location: Grants Pass, OR - ROGUE SOLUTIONS ACCOUNTING & BOOKKEEPING

Reports To: Staff Accountant/Owner
Job Summary:
The Accounting Support Specialist is responsible for providing comprehensive support to the accounting team, ensuring the accurate and efficient management of financial transactions, client communication, and administrative tasks. This role involves maintaining financial records, processing transactions, supporting payroll, and assisting with compliance-related duties, with a strong emphasis on quality and accuracy. The Accounting Support Specialist adheres to a company framework that ensures alignment with organizational goals and values.
Key Responsibilities:
Daily Accounting Tasks:
- Manage Accounts Payable and Accounts Receivable, including coding invoices and processing payments with a strong focus on accuracy and quality.
- Complete and maintain up-to-date bank feeds, ensuring accurate categorization and entry of all transactions, and promptly addressing any discrepancies or issues.
- Communicate with clients regularly to provide updates, resolve inquiries, and ensure their accounting needs are met with a high standard of service.
- Perform bank reconciliations and ensure all transactions are accurately categorized, recorded, and aligned with client requirements.
- Maintain updated and organized financial records within systems such as Share Point, Project Management System, and , ensuring data integrity and accuracy.
Client Communication and Support:
- Serve as a primary point of contact for clients, providing high-quality support and guidance on accounting processes and software (e.g., QuickBooks).
- Ensure timely follow-up on all client requests and tasks, using clear communication protocols to maintain transparency and efficiency.
- Assist in preparing documents and information required for client meetings and financial reviews, ensuring accuracy and completeness.
Weekly and Monthly Responsibilities:
- Participate in weekly team meetings to review progress on key goals and address any issues.
- Maintain all assigned repeating work schedules and task lists in the project Management system ensuring they reflect the work being done with precision and accuracy.
- Conduct a final review of accounting data before financial statements are created and client meetings are held to ensure all data is correct and complete.
- Complete and check off all assigned jobs and tasks in Project management system coordinating with the team to update work templates or client contacts as needed.
Payroll and Tax Compliance:
- Process payroll, pay payroll taxes, and ensure all tax payments are recorded accurately and timely.
- Support the preparation of 1099s for vendors, including maintaining W-9 records.
Technology and Systems Management:
- Maintain proficiency in QuickBooks and other accounting software tools, ensuring accurate data entry and management.
- Use a password manager to manage and secure passwords, adhering to protocols for data security, with a focus on maintaining data integrity and quality.
- Keep current on system updates, maintain internal work folders, and ensure proper organization and management of digital records, emphasizing accuracy and completeness.
Qualifications:
- Minimum of two years of accounting experience in an office environment.
- Knowledge of QuickBooks and proficiency in Microsoft Office Suite (especially Excel).
- Strong organizational and multitasking skills with a commitment to quality and attention to detail.
- Excellent communication and customer service skills.
- Ability to work with people at all levels within the organization and take direction from multiple sources.
