Customer Service Representative – Rolls Mechanical
Job Overview:
Rolls Mechanical is seeking a dedicated and customer-focused Customer Service Representative (CSR) to be the first point of contact for our clients. The ideal candidate will be responsible for delivering the BEST customer experience possible by handling inbound calls, responding to client inquiries, and scheduling service requests through our CRM system. This role requires strong communication skills, attention to detail, and a commitment to providing professional and efficient service while building strong, lasting relationships with our clients.
Key Responsibilities:
Inbound Call Handling & Customer Experience
· Answer all inbound calls professionally and courteously.
· Provide the BEST customer service by actively listening to client needs and ensuring a positive interaction.
· Address client concerns, provide information, and escalate issues when necessary.
· Build and maintain strong relationships with clients by ensuring a seamless and supportive experience.
Service Request Booking & Scheduling Support
· Book and manage client service requests using our CRM system.
· Assist in scheduling appointments, coordinating with the dispatch team, and ensuring timely communication with clients.
· Follow up with clients as needed to confirm appointments and updates.
Client Chat & Online Inquiry Management
· Respond to customer inquiries via online chat, email, or other digital communication channels.
· Ensure prompt and professional responses to all client questions or concerns.
New Client Information Collection & Payment Processing
· Gather and document new client information for approval and account setup.
· Collect payment details when required and process transactions securely.
CRM Data Management & Organization
· Accurately categorize and update customer information in the CRM system.
· Ensure all client interactions, notes, and service details are properly recorded.
Client Communication & Follow-Ups
· Assist the dispatch team in confirming appointments, rescheduling as necessary, and maintaining open client communication.
· Proactively call clients when needed to confirm service requests or address scheduling needs.
Key Qualifications:
· Strong verbal and written communication skills.
· Excellent organizational and multitasking abilities.
· Experience using CRM or scheduling software (preferred but not required).
· Ability to remain calm and professional in high-pressure situations.
· A customer-first mindset with a focus on building relationships and delivering the BEST service.
