Summary
As an Accounts Payable & Payroll Manager at Rolo Management Company, LLC, you will play a crucial role in managing financial transactions, ensuring accuracy in accounts payable, and overseeing payroll processes. Your responsibilities will directly support the financial integrity of the organization and contribute to the seamless operation of our mobile home park communities. This role requires precision, organizational and payroll systems.
ResponsibilitiesAccounts Payable ManagementInvoice Management
- Collect invoices from vendors, contractors, and service providers.
- Verify invoices to ensure accuracy and completeness.
- Ensure invoices match corresponding lot numbers for their appropriate property.
- Confirm all work performed is for park-owned homes. If work is on a tenant-owned home, follow up with receivables for payment due options.
Data Entry & Recording
- Enter all invoices paid via check, wire, credit card, or other methods into the accounting system for tracking and payment purposes.
- Maintain digital copies of all related documentation for easy retrieval and audit purposes.
Payment Processing
- Prepare payments via check, ACH transfers, electronic payments, or credit card.
- Obtain approval for payments from Ron Weiss.
- Reconcile all payments to ensure financial accuracy.
Vendor Management
- Maintain up-to-date vendor files, ensuring compliance with company policies.
- Establish and maintain relationships with vendors via email for efficient invoice collection.
Expense Tracking & Auditing
- Assist in internal and external audits by providing necessary financial documentation.
- Support end-of-month (EOM) reconciliation processes with accountants.
End-of-Month (EOM) Processes
In-depth training will be provided for EOM responsibilities.
Communication & Coordination
- Collaborate with property managers regarding outstanding invoices, vendor issues, quotes, and payment disputes.
- Respond to inquiries regarding payment status and invoice discrepancies in a timely manner.
Payroll ManagementHeartland Semi-Monthly Payroll Processing
- Validate employee hours worked using:
- a) Timesheetsb) Infinitime Timeclock
- Send regular email reminders to managers regarding hour submission deadlines.
- Detailed Payroll Record Keeping
- Maintain accurate records of employee wages, including:
- a) Regular hours workedb) Overtime calculationsc) Bonuses
- Non-Heartland-related bonuses are recorded in a separate Excel spreadsheet and provided to accountants at year-end for 1099-NEC preparation.
d) Consulting feese) Other compensatory factorsDeductions & Compliance
- Manage payroll deductions, including but not limited to:
- a) Child supportb) Loan repaymentc) Health insuranced) Rent concessione) Alimonyf) Tax withholdings and extra deductions
- Ensure compliance with tax and employment regulations, including:
a) Workers’ compensation
b) Unemployment tax insurance agency
c) Regional Income Tax Agency
d) State, local, and federal tax withholdings Unemployment Claims Management
- Maintain updated records of current and former employees, including hire and termination dates for unemployment claim verification.
- Liaise with local unemployment offices to confirm proper charges against business unemployment accounts.
Qualifications
- Proven experience in accounts payable, payroll management, or related financial roles.
- Strong technical , including journal entries, reconciliation, and financial data analysis.
- Familiarity with double-entry bookkeeping principles.
- Proficiency in Yardi, Quickbooks Online, Heartland Payroll and Gusto systems preferred.
- Experience with Infinitime Timeclock and EFTPS payroll tax systems is a plus.
- Strong organizational skills with attention to detail and accuracy.
- Ability to handle sensitive financial information with discretion and confidentiality.
- Strong communication skills to effectively coordinate with vendors, managers, and accountants.
- Ability to work independently and manage multiple financial processes efficiently.
