Job Title: Office Assistant Status: Full time
Exemption Status: Non-exempt Salary Grade: 20
Department/Location: St Thomas the Apostle Parish / Tucson, AZ
Primary Function: Under the direction of the Religious Education Director, the Pastoral Associate or the Pastor, is responsible for performing a variety of administrative duties in support of the parish Religious Education office. Responsibilities include data entry and other more complex assignments. The Employee shall be a minister of the Gospel and Catholic Teaching both academically and behaviorally while at work and in his/her personal life, “…Live in a manner worthy of the call you have received.” (Eph. 4:1)
Essential Duties and Responsibilities:
- Perform as an ecclesial minister in support of the Parish’s spiritual and pastoral mission
- Make copies of various documents as required.
- Coordinate Children’s Liturgy and Altar Server schedule
- Greet visitors, answer general questions regarding the various religious education programs
- Answer the phone, take messages or direct the call to the appropriate person or department
- Assist in organizing all office files and records
- Process Religious Education registrations, including sacrament classes and retreats
- Prepare, update and retain student/family records
- Produce certificates for a variety of sacramental programs
- Maintain supplies for offices and classrooms
- Record all sacraments received at all grade levels into sacramental registers
- Produce the weekly prayer requests and place in church
- Assist in Compliance Processing of volunteers as needed
- Perform other miscellaneous duties as required
Physical/Mental Requirements: Requires coordination and manual dexterity, normal mental and visual ability; ability to lift as required in a normal office environment.
Required Activities: Walking, sitting, standing, stooping, reaching, talking, handling, hearing, carrying, kneeling and keyboarding.

Basic Qualifications:
- Must have a working knowledge of and a strong commitment to the mission of the Diocese and Catholic Church; be in full communion with the Church.
- Type a minimum of 50 WPM.
- Computer skills including word processing, spreadsheet preparation, basic internet skills
- Excellent communications skills, written and verbal; excellent human relations and interpersonal skills
- Exercise courtesy to fellow employees, parishioners and the general public.
- Be available for evening and weekend work and overtime as necessary.
- Ability to work collaboratively in a team environment; punctuality is a must at all times; ability to travel locally as required.
- Must be a self-starter; well organized; perform multiple tasks simultaneously and work with a sense of urgency.
- Ability to maintain confidentiality.
- The Ability to successfully complete a criminal history and background check.
- Professional bearing and clean and neat personal appearance.
Education and Experience:
- A minimum of a high school diploma or GED.
- At least one year’s experience in an office setting, or equivalent experience.
