ROMCO is currently seeking talented and driven Service Administrator to join the team supporting the Lubbock branch operations (formerly Bee Equipment Sales).
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Summarize mechanics’ reports into a coherent work description on the invoice and/or claim
- Review and close work orders on a continuing basis with approval of Operations Manager or Product Support Manager
- Prepare and file claims in accordance with manufacturer requirements and timelines
- Input expenses for parts, labor, outside purchases, and travel expenses into Work Orders
- Assist in parts counter sales
- Receive, unload, and put up parts shipments – Some lifting required!
- Assist in gathering and shipping of parts for special parts returns and in support of warranty claims.
- Assist in returning cores back to factories as required
- Timely closing of Work Orders
- Timely filing of Warranty Claims
- Assure accuracy of billing based on information provided by service personnel
- Completeness of billing – check that everything is accounted for & there are no forgotten charges
- Able to detect work order discrepancies
- Match chargeable hours against payroll hours
- Assist with physical counts of the inventory
SKILLS REQUIRED:
- Clerical - touch typing, filing, data entry, basic spreadsheet, e-mail, fax, etc.
- Organizational – organize and prioritize tasks, work on a schedule w/ deadlines
- Good verbal and very good written communication skills
- Customer relations
- Attention to detail and follow-up
- Relationship Building - ability to work well with others in different job positions, customers and vendors
- Mechanical Aptitude - broad knowledge of construction machinery
PHYSICAL DEMANDS:
This position is approximately 80% desk related work, with 20% walking or standing, and lifting demands of up to 50 lbs.
WORKING CONDITIONS AND ENVIRONMENT:
Requirements are office and field based. Office hours are from 8:00am to 5:00pm with occasional needs outside standard business hours to accommodate meetings, training and projects. Some travel may be required. Reasonable accommodations may be made to enable people with disabilities to perform the essential functions of the Service Administrator position.
REQUIREMENTS:
- High School diploma or equivalent required
- Experience utilizing Microsoft Office, with emphasis on strong Excel skills
- Experience with Cr2 preferred
- Excellent interpersonal and customer service skills
- Effective communication skills (written, oral)
- Ability to prioritize duties and exhibit initiative
- Excellent organizational skills
