Overview: The Special Events Manager is a full-time, exempt, salaried position. The Special Events Manager is responsible for assisting the organization in reaching its overall fundraising goals by serving as the lead staff coordinating signature fundraising events and other community events, including working with teammates and committees around the state.
Primary Duties & Responsibilities:
Special Events:
· Works with the Development Director to establish annual goals and strategies for the organization’s signature events
· Serves as the lead staff coordinating signature events, auctions, and other events. Supports the staff and committees in Eastern Idaho and Magic Valley with events in these communities.
· Primary lead to managing event and auction committees, including meetings and responsibilities and working with development team as needed to recruit leadership needed to ensure success.
· Acts as the primary staff for development of all technical and logistical event needs, including (but not limited to) collateral design, event logistics, vendor acquisition, database needs, website updates, registration and ticketing, auction platforms, and acknowledgements.
· Plans and executes post event activities including acknowledgements and evaluations.
· Assists with donor and sponsorship recruitment and post event donor engagement.
· Oversees event budgeting includes income and expense tracking and reporting outcomes and analysis to Development Director.
· Manages third party fundraisers ensuring guidelines are followed and provide support as needed.
· Works closely with the Development Director on execution of fundraising strategy for event revenue, and planning special events to align with budgetary needs.
· Is familiar with the RMHC donor database and works closely with the Development Associate on entry and donor data, tracking, and reporting.
· Assist with donor engagement
· Assists from time to time with general duties necessary for the daily operations of the programs.
Position Requirements:
· Bachelor’s Degree and/or 3 years’ experience
· Excellent verbal and written communication skills.
· Proficient knowledge of Microsoft Office software and experience with fundraising/auction platforms and databases.
· Some day and overnight travel and flexible schedule required for events in offsite locations
· Proven ability to manage multiple projects simultaneously while demonstrating excellent time management skills.
· Exceptional communication skills, both verbal and written, with the ability to build relationships with clients and vendors
· Familiarity with event marketing techniques to attract attendees is a plus.
· Previous successful fundraising, auction and event experience, and experience working with volunteers.
· Demonstrates problem-solving and decision-making skills.
· Highly organized, dependable, able to function as a team member, flexible in work functions and duties, and responds to changing priorities.
· Motivated self-starter who can manage multiple tasks and meet deadlines. Must maintain high confidentiality and understand working with private and sensitive data.
· Excellent presentation, public speaking and community relations skills.
Environmental Factors/Physical Demands:
Work is performed in an office environment and in the community. While performing the duties of this job, the employee is regularly required to have the ability to maintain active customer and employee communication; access, input and retrieve information from the computer system; enter alpha-numeric data into a computerized system. May be subject to repetitive motion such as typing, data entry and vision to monitor. May be subject to bending, reaching, kneeling, stooping and lifting up to twenty (20) pounds.
