Position Description – Clinical Quality Administrator

Position Summary : The Clinical Quality Administrator functions as part of a team to coordinate and administer Roots’ ongoing clinical quality assurance and continuous improvement activities. The Clinical Quality Administrator supports and enhances clinical quality management activities within our healthcare organization, ensuring that clinical programs and services are carried out in a manner that upholds the organization’s mission and goals to deliver high quality services to the community. The Clinical Quality Administrator will be responsible for supporting the development, implementation, and monitoring of quality improvement initiatives, maintaining compliance with clinical standards, and supporting regulatory and accreditation processes. The Clinical Quality Administrator must be highly organized and detail-oriented, have strong administrative skills, a background in clinical quality management, and the ability to collaborate effectively with multidisciplinary teams.

Essential Functions :

Quality Assurance Support :

o Assist in the development, implementation, and monitoring of clinical quality improvement programs and initiatives.

o Facilitate QA / I committee and subcommittee efforts across the organization.

Quality Improvement Projects :

o Assist in coordinating and supporting quality improvement (QI) projects, including data collection, implementation, and evaluation.

o Support the development and execution of corrective action plans for identified quality issues.

o Monitor the progress of QI initiatives, ensuring that deadlines are met and goals are achieved.

o Support various teams in QI effort, test of change and rapid cycle improvement

Data Collection & Analysis :

o Collect, compile, and analyze clinical performance data for quality reporting and improvement purposes.

o Generate reports on clinical outcomes, performance metrics, and compliance with quality standards.

o Assist in the identification of trends or patterns in clinical data that may indicate opportunities for improvement.

Regulatory & Accreditation Support :

o Support the organization in meeting regulatory and accreditation requirements o Assist with preparing for regulatory surveys, audits, and inspections by maintaining accurate records and documentation.

o Track and monitor compliance with clinical protocols, procedures, and industry best practices.

Clinical Documentation & Reporting :

o Maintain accurate and up-to-date records of clinical quality activities, audits, and improvement projects.

o Assist in drafting and editing quality management reports and presentations for leadership, committees, and stakeholders.

o Ensure timely and accurate submission of required regulatory reports and documentation.

Collaboration & Communication :

o Collaborate with clinical staff, administrators, and other stakeholders to foster a culture of quality and continuous improvement.

o Assist in training and educating clinical staff on quality improvement processes, standards, and best practices.

o Serve as a liaison between the clinical teams, quality management leadership, and Research, Evaluation and Training..

o Coordinate and facilitate inter departmental meetings.

Secondary Functions :

  • Complete all required documentation and reports in a timely fashion;
  • Participate in staff meetings, supervision, agency meetings and staff trainings;
  • Carry-out all assigned responsibilities in a professional manner;
  • Help keep the center clean and safe at all times;
  • Perform other duties as assigned.

Education Requirements :

  • Valid, current California license as a registered nurse, current AHA CPR certification and either of the following : A Bachelor’s Degree in Nursing and a California Public Health Nurse certificate and a minimum of two (2) years’ experience in nursing;
  • Work Experience Requirements :

  • Experience with quality improvement methodologies
  • Minimum of 2 years of experience in a community / nonprofit healthcare setting, with a focus on clinical quality management, healthcare administration preferred
  • Qualifications and desired characteristics :

  • Certification in healthcare quality (e.g., CPHQ) preferred
  • Strong understanding of healthcare regulatory requirements, clinical standards, and accreditation processes.
  • Proficiency in data management, analysis, and reporting.
  • Excellent organizational, time management and multitasking abilities, with attention to detail
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Clear and effective external and internal, verbal and written, communication skills.
  • Strong critical thinker and problem solver who can successfully build and lead an execution strategy from a long-term vision
  • Excellence in organizational management with the ability to develop high-performing multi disciplinary teams across an organization; experienced working in a multi-site environment.
  • Experienced strategist, innovator, and executor who will contribute in the
  • leadership, management, and growth of the organization; adept at synthesizing information, building stakeholder trust and making sound decisions

  • Passion and knowledge of skill-based workforce development programming and social enterprise
  • Computer skills proficiency with strong working knowledge of Microsoft Office and / or Google Suite
  • Ability to work with people from diverse backgrounds; strong interpersonal communication skills;
  • Ability to work under pressure; good sense of humor; flexible and patient;
  • Willingness to work a flexible schedule;
  • Valid California Driver License with safe driving record.
  • Physical Conditions :

  • Frequent walking, standing, stair climbing, bending, stooping, lifting (25 lbs. max)
  • Gross and fine manual dexterity;
  • Must be able to visually observe staff to understand and interpret non-verbal behavior;
  • Able to operate standard office machines and equipment including keyboards.
