Position Overview:
We are seeking an organized and detail-oriented Accounts Receivable Specialist to join our finance team. In this role, you will be responsible for managing and processing incoming payments, maintaining accurate financial records, and ensuring the timely collection of accounts. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to work well both independently and as part of a team.
Essential Job Functions:
- Process and post customer payments in a timely manner.
- Prepare and process credit memos, adjustments, and refunds as needed.
- Assist with the preparation of aging reports to track outstanding balances.
- Follow up on overdue accounts by phone, email, or written correspondence.
- Communicate with customers to resolve billing inquiries or discrepancies.
- Collaborate with internal departments, including sales and customer service, to resolve payment-related issues.
- Process incoming invoices through e-invoice system, routing exceptions to appropriate parties.
- Prepare and process payment runs (checks, ACH, wire transfers, etc.).
- Maintain accurate and up-to-date accounts payable records in the financial system.
- Reconcile vendor statements and resolve any discrepancies or issues.
- Respond to vendor inquiries and resolve payment-related concerns.
- Maintain accurate files and records for auditing purposes.
- Assist with other finance-related tasks as needed, including assisting with audits or financial reports.
Qualifications:
- High school diploma or equivalent required; associate's degree in accounting or related field preferred.
- Minimum of 2 years of experience in AR, AP, finance, or a related field.
- Strong understanding of accounting principles and practices.
- Proficiency with accounting/ERP software (e.g., QuickBooks, NetSuite, SAP) and MS Excel.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and accuracy in work.
- Ability to manage multiple tasks and prioritize effectively.
- Ability to work independently and collaboratively in a team environment.
