Job Summary:
The AR/AP Accounting Assistant will be responsible for supporting the accounts receivable (AR) and accounts payable (AP) functions using Quickbooks. This role involves processing invoices, ensuring timely payments, handling collections, and maintaining accurate financial records. The ideal candidate will have a strong attention to detail, excellent organizational skills, and the ability to work effectively in a fast-paced environment.
Key Responsibilities:
- Accounts Receivable:
- Generate and send out invoices to clients.
- Monitor and follow up on outstanding receivables.
- Process customer payments and record them in the accounting system.
- Reconcile accounts receivable transactions.
- Assist in resolving any billing issues or discrepancies.
- Prepare AR aging reports and assist in collections efforts.
- Accounts Payable:
- Review and verify invoices and check requests.
- Sort, code, and match invoices.
- Set invoices up for payment.
- Enter and upload invoices into the system.
- Track expenses and process expense reports.
- Prepare and perform check runs.
- Reconcile accounts payable transactions.
- Monitor accounts to ensure payments are up to date.
- Resolve invoice discrepancies and issues.
- General Accounting:
- Assist with month-end closing activities.
- Maintain vendor files and related documentation.
- Prepare and maintain financial reports and spreadsheets.
- Assist in audits and provide supporting documentation as needed.
- Perform other accounting duties as assigned.
Qualifications:
- Associate's degree in Accounting, Finance, or a related field; Bachelor's degree preferred.
- 5 years of experience in accounts receivable and/or accounts payable.
- Advanced proficiency in QuickBooks.
- Proficiency in other accounting software (e.g., SAP, Oracle) is a plus.
- Strong knowledge of MS Office, particularly Excel.
- Excellent attention to detail and organizational skills.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Ability to handle confidential information with integrity and professionalism.
Physical Requirements:
