Administrative Assistant for the Office of the President

The Administrative Assistant in the Office of the President will respond to complex telephone and walk-in inquiries; distribute informational forms and documents with instructions; respond to routine and non-routine inquiries; serves as a reference for policies and procedures; contact individuals inside and outside of Institute on highly confidential matters and maintain work area ensuring a professional appearance.

The position will independently answer correspondence; independently compose and draft forms; format/prepare complex documents; create and maintain list servs. The position will provide program/project support; assist in preparing materials; maintain program/project calendars; coordinate programs/projects including registration, scheduling presenters, logistics, accommodation requests, food & beverage, marketing materials, program materials, troubleshooting issues, etc.

The Administrative Assistant in the Office of the President will set up and maintain filing system and maintain databases; create and formulate moderately complex spreadsheets, develop databases and materials from a variety of information systems. The position will maintain and update pages within a content management system according to pre-established schedules; make changes to the website as directed; review website to catch bugs, correct errors, and typos, fix broken links, and cross-link new resources to relevant pre-existing pages; may create templates of approved website layouts, in addition to updating and contributing to social media pages; editing and adding content to area support sites, employee sites, and publications/newsletters.

Additionally, the Administrative Assistant in the Office of the President will schedule appointments, meetings and locations using an electronic calendar; plan and schedule w/o consultation; arrange programs/events; attend meetings and prepare notes, follow up as necessary; independently compile materials for meetings. The position will arrange details of complicated travel plans involving lengthy trips; prepare travel schedule, itinerary and appointment contacts; review accuracy of assigned charges; order supplies within guidelines; may assist with travel reimbursements. This position will monitor department budget for expenses and balances; investigate discrepancies; process charges, P-Card purchases, and travel reimbursements; may assist with grant preparation.

Qualified candidates will have a bachelor’s degree and five to seven years of professional work experience. Varying education/experience may be considered in lieu of the other.


Preferred candidates will have higher education experience; excellent verbal and written communication skills, excellent interpersonal and customer service skills; advanced skills in Microsoft Office Suite or related software; ability to learn and adapt to new processes and systems; excellent organizational skills and attention to detail; advanced understanding of clerical procedures and systems such as recordkeeping and filing; and ability to work independently.
