Job Title: Contracts Specialist
Contract Management and Procurement Position Overview:
- Support the team in creating, reviewing, and managing contracts for Key Opinion Leaders (KOLs), Health Care Professionals (HCPs), ensuring all agreements comply with Abbott Office of Ethics and Compliance (OEC) policies.
- Process and manage purchase orders and invoices, ensuring timely approval and payment.
- Coordinate with various departments to obtain necessary approvals for contracts and purchase orders.
- Maintain accurate records of all contracts and related documentation, ensuring compliance with corporate and divisional policies.
- Work closely with internal teams and external partners to ensure smooth execution of contracts and documentation processes.
The ideal candidate will report into a Medical Director and will work closely with KOLs, HCPs, the OEC, and the procurement team to ensure timely and accurate management of all contracts, HCPs travel plans, purchase orders, invoices, and related documentation.
Requirements:
- Bachelor's degree or equivalent work experience in a related field.
- Minimum 2-3 years of experience in contract management and the procurement process (purchase orders, invoices), preferably in a medical or clinical setting.
- Strong proficiency in Excel, PowerPoint, Outlook, and other computer-based applications.
- Demonstrated ability to manage multiple deadline-driven projects.
- Excellent interpersonal skills with the ability to work both independently and within a team environment.
- Highly detail-oriented with a focus on data integrity and accuracy.
- Knowledge of compliance processes and procedures, particularly in a medical or clinical context.
Responsibilities:
- Manage multiple contracts, purchase orders, invoices, and cross-functional approvals, ensuring all documentation is handled efficiently and in compliance with Abbott OEC policies and guidelines.
- Work closely with the procurement team to ensure timely and accurate management of all contracts, HCPs travel plans, purchase orders, invoices, and related documentation.
- Leverage exceptional organizational skills to proactively manage multiple priorities and timelines.
- Set reminders and ensure all tasks are completed efficiently and on schedule.
Working Conditions:
- This is a full-time, temporary position working onsite in South Portland, ME, with occasional travel (5%).
