Position Summary:
Join our dynamic facilities team and be the hero that keeps our campus running smoothly. As the Facilities Administrative Assistant, you'll support the the Director of Facilities and the Director of Facilities Administration. You will assists with contract administration, work order systems, space reservation systems, accounting processes, security systems, and other general administrative duties. The Administrative Assistant acts as a contact person for the Facilities Unit and frequently interacts with university faculty, staff, students, tenants, vendors, and visitors. If you’re a detail-oriented multitasker with strong communication skills, we want to hear from you!
Essential Functions:
- Provides administrative support to the Campus Director of Facilities and the Director of Facilities Administration.
- Assists the Director of Facilities with managing work order administration including providing access and training for requesters.
- Manages and approves space reservations on the campus for classes, meetings, student events, and other special events.
- Issues and tracks access badges, parking permits, and keys to faculty, staff, students, and tenants.
- Support the onboarding process by facilitating facilities access, parking permits and system set up.
- Assist with tenant-related tasks, including updating and installing signage, managing space reservations, coordinating work orders, and sending email notifications.
- Assists the facilities team with accounting duties such as invoice approvals, tracking, reconciling budgets and processing expense reports.
- Assists with safety and emergency management for setting up fire drills and sending out notifications.
- Reviews and tracks security reports for campus.
- Assists in new student orientations with data entry and day of assignments.
- Provides rotation coverage for the front reception desk.
Qualifications:
- A minimum of 3-5 years’ work experience in an administrative or customer service type position.
- Any combination of education that provides required knowledge, skills, and abilities deemed necessary for this position.
- Preference will be given to those who have some college, specialized training and/or professional licenses.
- Must have valid driver’s license and maintain a satisfactory driving record.
