Summary:
A Function Book Coordinator organizes events at a function venue or events center. They liaise with clients to arrange details of the function and make arrangements such as catering, audio-visual equipment, and staffing.
Responsibilities:
- Overseeing projects and making sure they are delivered on time and to specifications.
- Communicating with clients about project goals and expectations.
- Keeping track of deadlines and progress to ensure projects are delivered on time.
- Organizing third-party vendors to provide elements that can't be produced in-house.
- Gathering and analyzing feedback from customers and other project users.
- Organizes events at a venue, including arranging catering, audio-visual equipment, and staffing.
- Working evenings, weekends, and holidays as needed.
- Arranging event services, such as food, transportation, and decorations.
- Addressing guest inquiries and concerns.
- Creating detailed event plans and checklists.
- Managing RSVPs and guest lists.
- Sending thank-you notes to attendees and vendors.
- Preparing event reports and financial summaries.
- Perform all other duties as assigned.
Experience/Qualifications:
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Detail-oriented and able to multitask effectively.
- Ability to lift to 25 lbs. consistently and 50 lbs. infrequently.
- Must be able to legally work in the USA.
- High school diploma or equivalent preferred.
