What are the responsibilities and job description for the Function Book Coordinator position at Rosen Hotels & Resorts?
Summary:
To maximize the potential selling of the Function Space for the Sales and Catering Department, via Synergy Sales (R05, R06, R07) to fulfill their budgeted and forecasted revenue by way of maintaining the policies & procedures set forth and to maintain a "clean and accurate" PMS system that supports that effort. In addition, keep the Marketing Software currently called Vizia, by Janus Systems, for the Convention Properties (R05, R06, R07) and training quarterly in advanced reports capabilities.
Responsibilities:
- Proofread and review provided information on Customer needs of Hotel's Function Space submitted by the Sales Manager. This information becomes a SPP (Sales Program Package.)
- Research the availability of those needs, while analyzing the overall contribution of the Sales package, i.e., Room Block, F&B Contribution, Rating, Profile, against: P&P's, Group Rooms Control Log (GRC), and History.
- Advise the Sales Manager of potential issues or concerns, while also regulating the program with all other SPPs on the Sales Books.
- Mediate between SPP or Definite Programs to maximize the selling potential (this requires supervision.)
- Maintains an accurate record of all transactions of the above #1-4 until 6 months after the date of departure.
- Enters and modifies the Program into the PMS system and continues with Convention Services through the program dates.
- Reports and disburses statistics as directed on a weekly/monthly basis to GM, DOS, VPSM, and Hotel Staff.
Experience/Qualifications:
- Previous experience in Sales, Convention Services, or Catering.
- Prior experience in Visual One, Daylight, or Delphi PMS systems. Project oriented.
- Ability to lift- up to 25 lbs. consistently and 50 lbs. infrequently
- Must be able to legally work in the USA.
Education and Certification(s)/License(s):
- High school diploma or equivalent preferred.
