The Rosenblum Companies’ multifamily portfolio is growing, and so is our team! We are looking for an Assistant Property Manager to join our team that manages the award-winning Vicina – Modern Urban Flats and The News Apartments in Troy, as well as the Industrie Apartments in Downtown Albany.
The Assistant Property Manager – Multifamily (APM) provides strong leasing and tenant relations skills for the company’s multifamily properties. Based at onsite management offices, the APM drives occupancy through new and renewal leasing activities, coordinates resident onboarding, manages delinquencies, and collaborates with the onsite and corporate teams toward promoting the highest caliber of urban luxury apartment lifestyle and maximizing resident retention.
Major Accountabilities
Maximize property occupancy, achieving or exceeding occupancy goals by:
- Monitoring and managing the lead/inquiry process, maximizing Lead -> Tour conversion.
- Conducting tours and follow-ups with prospective residents, maximizing Tour -> Approval conversion.
- Managing lease renewal process for expiring tenancies, maximizing resident retention.
- Monitor and assure accuracy of all available/vacant unit pricing and listings on marketing platforms.
Qualify and approve resident applicants by:
- Following established screening criteria.
- Address any deficiencies/denials with residents, seeking guidance from Property Manager where required.
- Maximize property curb appeal by:
- Regularly inspecting property offices, common areas, and model units.
- Addressing any deficiencies or opportunities for improvement with Building Engineering team.
Manage resident onboarding, renewal and offboarding process by:
- Creating and tracking all onboarding, offboarding and renewal workflows and coordinating with other onsite staff.
- Sending lease renewal notices and following up with residents regarding decision prior to notice date.
- Readying all materials for incoming tenants, assuring all documentation and insurance is in place.
- Ensuring that new residents have a positive move-in experience.
- Inspecting available units prior to vacancy and at final walkthrough.
- Maintaining and proactively monitoring unit readiness status in collaboration with Building Engineering team.
- Assessing all appropriate damage charges to residents as needed upon move-out.
Assist the Property Managers in maximizing resident satisfaction and experience by:
- Serving as an on-site presence in multiple properties.
- Following best practices in customer service and communication.
- Assisting in proactive resident communications (individually/building-wide) for service issues.
- Escalating maintenance concerns internally to Building Engineering or Property Manager as appropriate.
Other General Duties and Expectations
- Maximize online reputation of MF properties by monitoring online reviews, proactively seeking positive reviews from residents, and responding to all reviews in a timely and appropriate manner.
- Manage and post regularly on property-specific social media accounts, coordinating any guidance and input from corporate marketing staff.
- Collaborate with Property Managers by taking an active role in marketing and reporting process, sales training, market/competition research, networking, and peer relationships.
- Ensure that monthly rent is collected on time and follow up on delinquent tenants.
- Other tasks as assigned based upon company need.
Knowledge, Skills, & Abilities
- Knowledge of customer service standards and procedures with ability to provide efficient, timely, reliable, and courteous service to residents and internal customers.
- Exceptional verbal/interpersonal skills and ability to understand and respond to a diverse population of residents, colleagues, and vendors with a business/professional focus.
- Strong initiative, attention to detail, organizational, and ability to prioritize multiple tasks seamlessly.
- Proficiency with Yardi Voyager (RentCafe/CRM, Sitemanager, Elevate, RevenueIQ), and general use of desktop and web applications, general technology literacy and ease in learning new software and systems.
- Ability to maintain confidentiality, space, and information security.
- Collect, interpret, and/or analyze data and information. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
- Must be able to speak, read, write, and understand the primary language(s) used in the workplace; bilingual skills desirable. Ability to read, analyze, and interpret general business information, including but not limited to company policies and procedures. Ability to effectively present information and respond to questions from residents and the public
Minimum Job Requirements
- Associates degree; relevant experience may substitute for degree.
- Current New York real estate license (Salesperson or Associate Broker) or ability to attain within the first 90 days.
- Experience in multifamily leasing management.
- Ability to work with sensitive files and maintain confidentiality; must complete a criminal background check.
- Desire to learn and grow within the organization.
- Normal work hours are Monday through Friday, 9:00am to 5:30pm. Must be willing to cover weekend hours and be flexible for prospective resident needs (e.g., occasional early evening tours)
