The Office Coordinator works under the supervision of the Director and/or Assistant Director. The Office Coordinator is the “first face of Tri-Area Trucking School” to all visitors, current students, and alumni and is responsible for providing exceptional customer service. The Office Coordinator is responsible for registering students, team technology, providing compliant processes for all departments, ordering supplies and performing other duties as assigned by the Director.

Job Duties And Responsibilities
Customer Service & Staff Support
- Greeting and providing initial assistance to visitors
- Insure the entry, lobby and waiting area are properly maintained, stocked and welcoming
- Answer and direct incoming telephone communications
- Demonstrate a basic understanding of all Tri-Area Trucking School programs
- Demonstrate knowledge of Tri-Area Trucking School departments with the ability to direct inquiries to the right person and/or department
- Assist data entry throughout the enrollment process using CVue. From new lead to graduation
- Filing, data entry and uploading of scanned documents
- Provide additional staff support as needed
- Perform Registrar duties
- Keep record of student attendance call ins
- Handle transcript requests
- Posting of student payments and reconciliation to CVue
- Reconciliation of the 3rd part servicer records/ledgers
- Copy and assemble various departments’ information packets
- Assist Director with various reporting activities
- Actively participate in student retention and special school functions
- Preparing certificates, transcripts, and class records
- Notify Director of any office equipment needing repair/service
- Communicate with Ross Education departments as needed
- Follow all Ross/Tri-Area Trucking School Policies and Procedures for data entry, filing, student records
Ordering Supplies
- Order general office and computer/printer supplies from appropriate vendors
- Receive and verify shipping items and distribute them accordingly
- Send outgoing mail/UPS
- Receive incoming mail/UPS

- High School Diploma or GED equivalent
- 4 years’ work experience in administrative, clerical or other work requiring knowledge of general office procedure, equipment, basic bookkeeping and good attention to detail
- Some post-secondary education, such as certificate/diploma or degree from an institution accredited
- Ability to greet all visitors to the building with a pleasant and professional manner, and always treat visitors with respect and offer prompt service
- Ability to track orders to meet student and staff regularly scheduled needs, using the Ross calendar and direction from the Campus Director
- Ability to work with vendors and track expenses. Follow Ross policies for vendors and orders
- Ability to answer inbound phone calls with a pleasant and professional tone, and always treat callers with respect and offer prompt service
- Flexibility to change priorities, as directed by the Director and/or Assistant Directors and to support other departments or projects as needed
- Protection of student and/or employee privacy is expected in the handling of confidential and/or financial information
- Must have sufficient visual and auditory ability to operate computer equipment, use telephone, read materials, and office equipment
- Professional communication encompasses written, oral, visual and digital communication. Successful communication skills are required for working at Ross and involve the following: writing, reading, editing, speaking, listening, software applications, data entry and reporting, and internet research
