Our busy construction company is seeking an organized construction administrative assistant to support our office with clerical and administrative tasks. You’ll help our office staff communicate with vendors and clients, obtain bids from subcontractors, and place change orders. The ideal candidate will have great computer, communication, and time management skills. Previous experience in the industry is helpful, but not required. Responsibilities:- Serve as a point of contact and solicit quotes for new jobs from subcontractors, vendors, and various construction services teams
- Assemble meeting logistics and deliverables such as handouts, and make travel arrangements for the project management team
- Perform general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies, and other clerical and administrative tasks for special projects as requested
- Support the office manager, project manager, general contractor, and construction office staff by completing administrative tasks
- Prepare forms such as change orders, purchase orders, service agreements, and subcontracts
- Filing
- Efficient use of Microsoft Office and other related software
- Email and other correspondence as required
- Assist commercial project managers
- Assist with answering phones, directing calls, taking messages accurately
- Complete administrative support tasks for the project managers
- Assist as needed with other standard office duties or communications
- Assisting with Permitting
- An understanding of the construction industry is preferred, but not required
- Proficient in computer skills, especially MS Office (Word, Excel, and Powerpoint)
- Three years of experience of administrative experience is necessary - previous administrative duties in a busy construction office is desired
- Great organization, time management, and communication skills are vital
- Associate’s or bachelor’s degree is a bonus - high school diploma is required
- High school diploma or equivalency
- Ability to multitask and adapt to change
- Ability to learn new software quickly
- Problem-solving skills and ability to handle a fast-paced environment
